Receptionist
Sparks Group has partnered with a respected professional association to identify a receptionist for a short-term, seven-week contract assignment. This position will provide front desk coverage during a leave of absence and serve as the first point of contact for visitors, members, and callers. We are seeking a polished, customer-focused professional who thrives in a fast-paced office environment and possesses strong technical proficiency with Microsoft Office applications.
Responsibilities
- Greet and assist visitors, ensuring a welcoming and professional experience.
- Manage the front desk and maintain a positive first impression for all guests and callers.
- Answer, screen, and accurately route incoming telephone calls to the appropriate departments and staff members.
- Monitor and manage shared inboxes, calendars, and communication channels.
- Coordinate visitor check-in procedures and meeting room logistics.
- Provide administrative support including data entry, document preparation, filing, and correspondence.
- Assist with scheduling and calendar management as needed.
- Utilize Microsoft Teams, Outlook, Word, and Excel to support daily office operations.
- Respond to inquiries and resolve issues professionally while escalating concerns when appropriate.
- Support office staff with special projects and administrative tasks as assigned.
- Maintain confidentiality and professionalism in all interactions.
Qualifications/Background Profile
- Previous receptionist, front desk, concierge, or customer-facing administrative experience required.
- Strong proficiency with Microsoft Office Suite, particularly Teams, Outlook, Word, and Excel.
- Demonstrated ability to screen, prioritize, and direct incoming calls efficiently.
- Excellent verbal and written communication skills.
- Outstanding customer service and interpersonal skills.
- Strong problem-solving abilities with a proactive, solutions-oriented mindset.
- Ability to work independently while contributing positively to a team environment.
- Highly organized with strong attention to detail and the ability to manage multiple priorities.
- Comfortable learning new technologies and navigating office systems.
