The New Mexico Economic Development Department (EDNM) works to enhance the state's economic growth and vitality by supporting businesses, communities, and individuals throughout New Mexico.


EDNM's mission is to create a diverse, sustainable economy through strategic partnerships, policies, and programs that foster job creation and business development.

The Technology & Innovation Office (TIO) supports the growth of New Mexico's innovation economy by advancing entrepreneurship, commercialization, technology development, and ecosystem building across key science and technology sectors. TIO works with startups, research institutions, national laboratories, higher education institutions, economic development partners, and industry stakeholders throughout the state.

Interviews are anticipated to be conducted within two weeks of closing date.


Why does the job exist?

A major part of TIO's mission is administering non-dilutive funding programs that support companies within the aerospace and defense, advanced computing, advanced energy, and bioscience sectors. These programs are designed to meet companies where they are by supporting technology commercialization, New Mexico startup growth, and the relocation and expansion of companies within TIO's target sectors to New Mexico. Through these efforts, TIO works to drive job creation, expand economic opportunity, and diversify New Mexico's economy to support long-term prosperity for New Mexicans. The Administrative Assistant provides administrative and operational support to TIO leadership and staff through coordination of meetings and communications, travel and reimbursement processing, supplier creation and records management, intake coordination, and general office support to help ensure efficient day-to-day operations and support TIO programs and initiatives.


How does it get done?

1.Providing administrative support to division leadership and staff, including calendar management, scheduling meetings, coordinating travel arrangements, processing travel reimbursements, preparing meeting materials and supporting day-to-day office operations.
2.Maintaining administrative records and files, assisting with the creation of supplier profiles by reviewing and submitting required documentation in a timely manner, and helping ensure staff have the administrative tools, resources, and operational support needed to function effectively.
3.Coordinating communication and scheduling with companies, contractors, partner organizations, stakeholders, and internal staff to support meetings, intake coordination, and timely follow-up on administrative tasks and action items.
4.Supporting administrative tracking systems and records management activities, including maintaining intake tracking information, updating Salesforce and other administrative systems, organizing workflow tracking, supporting procurement and purchasing processes, tracking invoices and purchase requests, and assisting with routine administrative and operational processes.
5.Providing administrative support to division leadership related to contracts, grants, procurement, and tracking activities, including assisting with document routing, monitoring approvals, maintaining tracking records, and supporting follow-up activities to help ensure timely processing and compliance with administrative procedures.
6.Assisting with special projects and administrative assignments, gathering information, preparing reports and documentation, supporting division events and meetings, maintaining program and operational tracking data, and providing general office and customer service support.


Who are the customers?

This position serves the Technology & Innovation Office of the Economic Development Department.
This role will work directly with TIO leadership and staff, internal and external stakeholders, and other divisions of the Economic Development Department.


Ideal Candidate

The ideal candidate has strong experience in:
Providing administrative and office support, including office coordination, scheduling, records management, and the use of administrative tracking systems such as Salesforce, SHARE, Monday.com, or similar platforms.
Supporting leadership with calendar management, meeting coordination, travel arrangements, and meeting preparation.
Coordinating schedules and logistics using Microsoft Office tools, scheduling systems, and virtual meeting platforms to ensure work moves forward efficiently.
Managing multiple priorities in a fast-paced environment with strong organization, initiative, attention to detail, and a consistent ability to meet deadlines.
Communicating and coordinating effectively with internal staff and external stakeholders, demonstrating strong customer service, professionalism, and clear communication skills.
Managing administrative follow-up activities, including tracking approvals, action items, and deliverables to ensure timely and accurate support of work activities.
Bringing a proactive, collaborative, and flexible approach to daily work, contributing to a positive, high-functioning team environment while remaining responsive and adaptable.
Willingness to learn and apply new tools, systems, and processes as needed.


Minimum Qualification

High School diploma or equivalent and two (2) years work experience in office administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.


Employment Requirements

This position may require occasional statewide travel, which may require the use of a state vehicle.
Must possess and maintain a drivers license.
Must obtain and maintain a current Defensive Driving Course Certification as a condition of continued employment.


Working Conditions

The Technology & Innovation Office is based in Albuquerque, though the role may rarely require work from the Economic Development Department Santa Fe office when necessary.
Minimal to rare statewide travel, meetings, or event support may be required.
Minimal or rare evening or weekend work may be required to support meetings, events, or operational needs.
Work is primarily performed in an office setting with extensive use of computers, virtual meeting platforms, and telephone communication. Duties may require sitting for extended periods, bending, stooping to file, and occasionally lifting up to 25 pounds.
