Job Description Job Title: Group Health Coordinator Department: Employee Benefits / Group Health Position Summary The Group Health Coordinator supports the full lifecycle of employee benefits administration, including quoting, binding, onboarding, and ongoing client servicing. This role is critical in ensuring a smooth and efficient experience for clients by coordinating with carriers, General Agencies (GAs), and employer groups, while maintaining high levels of accuracy, communication, and customer service. Key Responsibilities Quoting Process Gather and organize census data from clients to prepare accurate quote requests. Run and generate quotes through carrier portals and General Agencies (GAs) Communicate with clients to obtain missing information and clarify details needed for quoting. Schedule meetings and calls between clients and internal stakeholders Prepare presentations, proposals, and supporting documentation for the sales process. Provide administrative and data support to help close new business. Binding Process Coordinate open enrollment meetings between clients, carriers, GAs, and internal teams. Prepare and organize all required enrollment materials and plan documents. Utilize platforms such as EASE/Navigators to input and manage employee enrollment data. Collaborate with clients to collect final enrollment data, applications, waivers, and required forms. Review documentation for completeness and accuracy prior to submission. Act as a liaison between the client and the carrier to resolve outstanding items and facilitate approval Onboarding Process Coordinate with carriers to ensure the timely distribution of employee ID cards. Train clients on benefits administration platforms (e.g., EASE/Navigators) Educate clients on carrier portals and ongoing account management tools. Guide clients on employee lifecycle changes (additions, terminations, modifications) Provide instruction on key carrier contacts and escalation procedures. Assist clients with payroll deductions and coordinate with payroll providers as needed. Ongoing Client Servicing Manage day-to-day service requests and provide timely resolutions. Assist clients with employee eligibility, enrollment changes, and compliance with waiting periods. Support employees and employers with benefit-related inquiries, including billing and coverage issues. Conduct client and employee calls, including three-way calls with carriers/providers when necessary. Resolve carrier-related issues, including processing delays, errors, and exceptions. Assist clients with COBRA administration and related processes. Coordinate replacement ID cards and documentation requests. Monitor and communicate notices related to cancellations, late payments, and coverage issues. Qualifications 1–3 years of experience in employee benefits, insurance, or administrative support (preferred) Knowledge of group health insurance processes and terminology (preferred) Experience with benefits administration systems such as EASE or similar platforms (preferred) Strong organizational skills with close attention to detail Excellent verbal and written communication skills Ability to manage multiple tasks and deadlines in a fast-paced environment Customer service-oriented with strong problem-solving abilities.
