Job Summary
The Contract Administrator will support a Federal Government defense program throughout the acquisition lifecycle, from acquisition planning and award through post-award administration and contract closeout. This position will provide acquisition, administrative, and analytical support to Government contracting personnel while helping facilitate timely and compliant procurement actions.
The Contract Administrator will assist with market research, procurement planning, solicitation and acquisition documentation, proposal reviews, price and cost analyses, contract modifications, deliverable tracking, contract closeout, and maintenance of audit-ready acquisition files. The position will coordinate closely with contracting, technical, legal, financial management, and program stakeholders while ensuring support activities remain within appropriate contractor roles and do not involve inherently governmental functions or contracting authority.
Essential Duties and Responsibilities
- Support the planning, award, administration, and closeout of contracts, task orders, and other Federal Government acquisition instruments.
- Assist with acquisition strategies, market research, procurement planning, acquisition milestone tracking, and related acquisition lifecycle activities.
- Prepare solicitation packages, acquisition plans, memoranda, supporting documentation, and other procurement materials in accordance with applicable statutes, regulations, policies, and procedures.
- Review contractor proposals and support price and cost analyses used to inform Government acquisition decisions.
- Prepare draft contract modifications and support post-award administrative actions, deliverable tracking, milestone monitoring, and contract status reporting.
- Support formal contract closeout activities, including tracking and resolving outstanding administrative requirements.
- Establish and maintain organized, accurate, and audit-ready acquisition documentation, official contract files, correspondence logs, procurement trackers, and milestone schedules.
- Research applicable acquisition laws, regulations, policies, procedures, and guidance and develop findings or recommendations for Government acquisition personnel.
- Develop acquisition reports, procurement metrics, leadership briefings, data-call responses, status reports, and other acquisition-related documentation.
- Coordinate procurement activities with Government contracting personnel, requiring activities, technical personnel, legal counsel, financial management personnel, program leadership, and other stakeholders.
- Track acquisition actions, deadlines, approvals, dependencies, and outstanding documentation to support timely procurement execution.
- Assist with identifying acquisition risks, documentation gaps, schedule impacts, and administrative issues and support development of appropriate corrective actions.
- Provide advisory, analytical, and administrative acquisition support without performing inherently governmental functions or exercising contracting authority reserved for Government personnel.
Required Qualifications
- Bachelor's degree.
- Minimum of five years of professional Government contracting or federal acquisition experience demonstrating progressively responsible duties across the acquisition lifecycle.
- Active Secret security clearance.
- Strong working knowledge of the Federal Acquisition Regulation (FAR) and applicable Federal Government acquisition policies, procedures, guidelines, and supplements.
- Demonstrated pre-award and post-award contract administration experience.
- Experience preparing or supporting solicitation packages, acquisition documentation, contract modifications, and formal contract closeout actions.
- Experience conducting or supporting price and cost analyses.
- Demonstrated ability to establish and maintain highly organized, accurate, and audit-ready official contract files, acquisition records, and correspondence logs.
- Experience supporting federal records management and acquisition documentation requirements.
- Strong research, analytical, organizational, written communication, and interpersonal skills.
- Ability to manage multiple acquisition actions, deadlines, and priorities in a fast-paced Government contracting environment.
- Ability to work effectively with Government contracting personnel, technical teams, legal personnel, financial management personnel, and senior program stakeholders.
Preferred Qualifications
- Bachelor's degree in Business Administration, Acquisition Management, Contract Management, Finance, or a related field.
- Ten or more years of professional Government contracting or federal acquisition experience.
- Experience supporting Department of Defense acquisition organizations or programs.
- Experience navigating the Defense Federal Acquisition Regulation Supplement (DFARS) and other agency-specific acquisition supplements.
- Experience supporting complex acquisitions involving multiple stakeholders, technical requirements, task orders, contract modifications, and recurring deliverables.
- Relevant federal acquisition or contracting certifications.
