Job Overview

We are seeking a detail-oriented and organized Accounts Receivable & Collections Specialist to support customer account management, collections, and accounts receivable operations. This role is responsible for following up on outstanding balances, resolving billing discrepancies, maintaining accurate customer records, and working collaboratively with internal departments to facilitate timely payments.

The ideal candidate has strong communication and analytical skills, excellent attention to detail, and the ability to manage multiple accounts and collection priorities in a fast-paced environment.

Key Responsibilities

• Review accounts receivable aging reports and initiate collection efforts for customer balances more than 35 days past due.
• Contact customers with overdue balances on a daily basis, primarily by phone, to obtain payment commitments and resolve outstanding issues.
• Provide invoices, account statements, and supporting documentation to customers to facilitate payment and address billing disputes.
• Investigate rejected invoices and coordinate with Billing, Pricing, and Terminal Operations teams to resolve discrepancies and payment delays.
• Prepare and submit invoices recommended for write-off to the Credit Manager on a weekly basis, including appropriate supporting documentation and explanations.
• Communicate credit risks and collection concerns to Sales and operational teams regarding delinquent or potentially high-risk accounts.
• Maintain accurate and up-to-date customer account information, including contact details, billing instructions, and address changes.
• Monitor outstanding receivables and follow up consistently to support timely collections and accurate account records.

Qualifications

• High school diploma or equivalent required.
• Previous collections or customer service experience preferred
• Basic understanding of accounting principles.
• General office skills, including typing, data entry, filing, and calculator use.
• Strong verbal and written communication skills.
• Excellent attention to detail and analytical problem-solving abilities.
• Strong organizational skills and the ability to prioritize tasks and manage time effectively.
• Experience in the transportation industry is a plus.
