Immediate Opening for a FT Payroll / Benefits Coordinator:

Our busy orthopedic clinic is open 8 am to 5 pm Monday - Friday. In-office position for 40 hours per week.

Experience/Education
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration or a related field required; Bachelor's degree preferred.
- Minimum of 3 years of experience in payroll administration, benefits administration, or a related field.
- Experience processing payroll and administering employee benefit programs required.
- Experience with payroll systems and payroll tax reporting, W-2 preparation, and year-end payroll processes preferred.
Knowledge, Skills, and Abilities
- Strong understanding of payroll processing, payroll taxes, deductions, and wage and hour requirements.
- Knowledge of employee benefits administration, including medical, dental, vision, life, and disability insurance plans.
- Ability to maintain confidential and sensitive employee information with the highest level of discretion.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and competing demands.
- Excellent attention to detail and accuracy in data entry, payroll processing, and compliance reporting.
- Effective verbal and written communication skills with the ability to interact professionally with employees, management, vendors, and government agencies.
- Demonstrated problem-solving skills and ability to exercise sound judgment when handling employee and payroll matters.
- Ability to work independently while also collaborating effectively as a member of a team.
- Familiarity with leave administration programs, including FMLA, PFML, and other protected leave regulations.
- Understanding of Equal Employment Opportunity (EEO), Affirmative Action, and workforce reporting requirements.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
Responsibilities
Payroll Administration (40–50%)
- Process payroll
- Review and verify employee timecards and PTO
- Calculate overtime, bonuses, etc.
- Process new hires, terminations, and pay rate changes
- Ensure payroll taxes and deductions are accurate
- Reconcile payroll reports and resolve discrepancies
- Prepare quarterly tax filings for withholding, unemployment and PFML taxes
- Calculate and remit employer HSA contributions
- Prepare year-end payroll documents (e.g., W-2s)
- Maintain payroll records and ensure data accuracy
Benefits Administration (20–30%)
- Administer health, dental, vision, life insurance, and retirement plans
- Process new enrollments and qualifying life event changes
- Coordinate annual open enrollment
- Calculate 401(k) contributions and match each pay period and remit to Capital Group
- Calculate annual profit-sharing contribution and remit to Capital Group
- Responsible for annual employee communication for benefit plan
- Manage COBRA, FMLA, and leave-related benefit changes (as applicable)
- Communicate benefit options and eligibility to employees
- Work with North Risk Partners to determine benefits by department
Compliance (10–15%)
- Ensure payroll complies with federal, state, and local wage laws
- Maintain compliance with tax withholding requirements
- Support audits and maintain required documentation
- Keep employee records confidential and compliant with privacy requirements
- Monitor changes in payroll and benefits regulations
- Ensure accurate record retention and reporting
Employee Support (10–15%)
- Respond to employee payroll and benefits questions
- Resolve paycheck discrepancies and deduction issues
- Assist employees with benefit enrollments and claims questions
- Provide guidance on leave, PTO balances, and payroll policies
HR Support (5–10%)
- Assist with onboarding and offboarding processes
- Update employee information in the Bamboo
- Support HR projects as needed
- Generate HR and payroll reports for leadership

Physical Demands and Work Environment
This position is typically sedentary, involving prolonged sitting (over 50%), using hands for typing/data entry or using controls (repetitive motion); simple grasping and fine manipulation, close visual acuity for computer work, reading, and occasional light lifting (under 10-20 lbs.). Essential demands include operating standard office equipment, communicating verbally, hearing and conveying ideas clearly (written and spoken). Occasional standing, walking short distances, reaching, bending, or stooping to access files or supplies. Ability to support muscles for prolonged tasks and maintain focus.
