TEMPORARY POSITION WITH POTENTIAL LONG-TERM OPPORTUNITY

Pinnacle Site Solutions is seeking a professional, organized, and dependable individual to join our team as an HR Coordinator & Executive Assistant. This position will provide support to our Executive Leadership Team and Human Resources Department during a maternity leave coverage period.

This is an excellent opportunity for someone who enjoys working with people, staying organized, managing multiple priorities, and supporting a growing organization. You'll gain hands-on experience in recruiting, human resources, payroll administration, executive support, employee engagement, and business operations while working closely with company leadership.

While this position is being hired to support temporary coverage need, there may be future long-term employment opportunities available for the right candidate.

Position Details:

• Temporary Position (estimated 3-4 months)
• Full-Time Preferred
• Monday - Friday
• In-Office Position - Alachua, FL (moving to High Springs, FL in August 2026)

Job Responsibilities:

Recruiting & Talent Acquisition

• Post and manage job advertisements
• Review applications and resumes
• Conduct initial candidate screening calls
• Schedule and coordinate interviews
• Communicate with candidates throughout the hiring process
• Assist with onboarding and new hire paperwork

Human Resources & Employee Support

• Maintain employee files, records, and HR documentation
• Process employee updates and personnel changes
• Assist with benefits administration and employee communications
• Support onboarding and orientation activities
• Maintain confidentiality of employee information

Payroll & Administrative Support

• Assist with payroll data entry and documentation
• Review timesheets, PTO requests, and employee updates
• Maintain payroll records and support payroll processing activities
• Respond to employee questions related to payroll and administrative matters

Executive & Office Support

• Manage calendars, meetings, and scheduling for leadership
• Coordinate travel arrangements, meetings, and company events
• Prepare reports, presentations, and meeting materials
• Answer incoming phone calls and direct calls professionally
• Welcome visitors, applicants, vendors, and employees
• Support front office and day-to-day administrative operations

Technology & Equipment Coordination

• Assist with employee computer, phone, and equipment requests
• Coordinate employee account setup and technology onboarding
• Maintain equipment records and assist with offboarding processes
• Serve as a liaison with IT providers when needed

Employee Engagement & Special Projects

• Assist with employee appreciation events and company celebrations
• Support recruiting events, career fairs, and community outreach activities
• Assist with company meetings, training events, and special projects
• Provide administrative support across multiple departments as needed

Preferred Qualifications

• 3+ years of experience with administrative support, executive support, human resources, recruiting, payroll administration, customer service, or related fields
• Experience supporting executive leadership teams
• Experience with recruiting, interviewing, or onboarding
• Experience with Microsoft Office and/or Google Workspace
• Experience with payroll systems or HR administration
• Construction industry experience is a plus
