Bookkeeping and Logistics Associate

NXT Companies is a Vertical AI studio headquartered in downtown Franklin, Tennessee. We own and

operate businesses in traditional industries and build software and agentic AI into each of them from the inside. Our operating thesis is operator-first, software-second: the people who run the work every day shape the tools that run alongside them. NXT’s portfolio spans automotive, construction, logistics, private aviation, and hospitality. Current verticals include Every Window – the industry’s first online retailer of windows, entry doors, and installation; Axe & Kindle – a nationwide distributor of kiln-dried firewood to restaurants and hotels; and Levo – a provider of technology and a consumer marketplace for the private air charter industry. Every vertical runs on NXTOrder, our shared operating platform: one source of truth for orders, invoices, vendors, and fulfillment, with AI agents working inside it.

The Bookkeeping and Logistics Associate keeps the books accurate across NXT’s verticals, working at

the holding company level alongside our AI agents. The Associate will report to the Director of

Operations and work closely with the Director of Logistics. Agents in NXTOrder take the first pass on

routine work: capturing sales, matching invoices to orders, and preparing entries for QuickBooks Online. The Associate reviews that work, resolves exceptions, reconciles against source documents, and manages vendor and supplier payments. When an agent gets something wrong, the Associate corrects it and helps improve how it handles the next one. The judgment, the accuracy, and the sign-off belong to the Associate. The ideal candidate has bookkeeping experience and cares about getting the numbers right: at home in Excel, quick to pick up new systems, and the first to notice when something doesn’t reconcile. Prior bookkeeping experience or knowledge is required; working with QBO is a plus.

This is a position poised for growth. As NXT adds verticals, the operations team takes on finance,

accounting, vendor management, compliance, logistics, and fulfillment for each one. The role grows with the portfolio, and with what the Associate shows they are good at. Knowledge of a particular industry or product line is not required – each vertical has subject matter experts who support product and technical questions. The candidate brings attention to detail, the ability to keep several workstreams moving at once, and the steadiness to own the daily work of keeping

records clean.

Every NXT employee, in every role, completes the NXT AI curriculum. It begins during onboarding,

continues for as long as you’re here, and assumes no prior AI experience. It covers working with AI

assistants on everyday tasks, checking and verifying AI output with particular rigor on numbers,

operating inside NXTOrder and supervising the agents in your own function, and documenting how you do your work so it can be improved and automated. The people who know the work best shape how AI does it; in this role, the person closest to the books helps decide how the agents keep them.

The vision and team at NXT are built with a particular focus on the personhood of each member and

their value beyond the task at hand. NXT’s working week is Monday thru Thursday and work truly ends

at 5pm. The office socializes together every Wednesday during the company-sponsored lunch. The

vacation and paid leave policies are flexible and accommodating of each team member’s

circumstances.

The company’s main offices are located in downtown Franklin, TN and the candidate will need to work

out of the office. This is not a remote position.

Responsibilities:

• Reviews and approves sales, invoice, and bill entries in QuickBooks Online across the

verticals

• Resolves exceptions: mismatched invoices, missing documents, duplicate charges, and

anything the agents flag or miss

• Reconciles invoices, payments, and sales records against source documents

• Processes vendor and supplier bill payments

• Maintains the Excel reporting used for management review and cross-checks

• Supports the Director of Logistics with fulfillment, shipping, and vendor tracking

• Logs recurring errors and documents fixes so agent workflows improve over time

• Develops understanding of sales, accounting, tax, and logistics tracking across industries

• Other projects and duties as the portfolio grows

Requirements:

• Prior bookkeeping experience or formal bookkeeping training

• Advanced MS Excel skills, including lookups, pivot tables, and reconciliation

• Close attention to numerical detail

• Organized, reliable, and dependable

• Excellent written and verbal communication

• Ability to work as part of a small, collaborative team

• QuickBooks Online experience a plus but not required

• Hands-on use of AI tools such as ChatGPT or Claude a plus but not required

Job Type: Full-time

Compensation: Commensurate with experience. Range: $36,000 - $48,000/year.

Location: Downtown Franklin, TN. In office.
