HR CoordinatorNOVO Health Services is seeking an organized and dependable HR Coordinator to support our Talent Acquisition team, ensuring the recruiting process runs smoothly and efficiently across a multi-site organization.Reporting directly to the Recruiting Manager, this role provides administrative and logistical support to the Talent Acquisition team, managing scheduling, candidate communication, applicant tracking system data, and pre-employment processing. This work frees recruiters and HR leadership to focus on candidate strategy and hiring decisions.The ideal candidate is a detail-oriented, people-first professional who thrives on keeping a fast-moving recruiting process organized and on track.Key ResponsibilitiesRequisition & Scheduling CoordinationCoordinate the day-to-day administrative activities of the recruiting process, including posting requisitions, scheduling phone screens and interviews, and managing calendar logistics for hiring managers and candidatesSupport job posting administration across external job boards and LinkedIn, ensuring postings remain current, accurate, and consistent with approved templatesMaintain and update the weekly recruitment tracker, reconciling open requisitions against Workday exports and flagging discrepancies to the Recruiting ManagerCandidate Experience & Data IntegrityMaintain accurate and current candidate records in Workday, including applicant status updates, disposition codes, and requisition data, ensuring the ATS reflects real-time pipeline activitySupport recruiters and hiring managers by preparing interview packets, scorecards, and candidate communication templates, and by tracking candidate progression through each stage of the hiring processRespond to routine candidate inquiries and internal requests for recruiting status updates, escalating complex issues to the appropriate HR team memberPre-Employment & Onboarding SupportAssist with pre-employment processes, including background checks, drug screens, reference checks, and employment verifications, and follow up to ensure timely completionPrepare and distribute offer letters and new hire paperwork, and coordinate with HR Operations to ensure a smooth handoff from offer acceptance to onboardingMaintain organized, compliant recruiting files and documentation in accordance with company record-retention standards and I-9/E-Verify requirementsAdministrative & Team SupportProvide general administrative support to the Talent Acquisition team, including data entry, report generation, and other duties as assignedQualificationsRequiredBachelor's degree in Human Resources, Business Administration, or a related field required1–3 years of experience in an administrative, coordinator, or recruiting-support roleWorking knowledge of applicant tracking systems (Workday preferred) and strong proficiency in Microsoft Office, particularly Excel and OutlookExcellent organizational skills and attention to detail, with the ability to manage multiple requisitions and competing deadlines simultaneouslyStrong written and verbal communication skills, with a professional, service-oriented approach to interacting with candidates and hiring managersAbility to maintain confidentiality and exercise sound judgment when handling sensitive candidate and employee informationPreferredExperience in a multi-site or industrial/manufacturing environmentDirect experience working within Workday or a similar HRIS/ATS platformKey CompetenciesStrong organizational skills and attention to detail in a fast-paced, multi-site environmentProactive, service-oriented approach to candidate and hiring manager communicationAbility to manage multiple requisitions and competing deadlines simultaneouslyClear, professional written and verbal communication skillsSound judgment and discretion when handling confidential candidate and employee informationComfortable learning and navigating new systems and technology, including Workday and other ATS platformsPhysical & Work Environment RequirementsAbility to sit, use a computer, and perform data entry for extended periodsPrimarily an office-based role with regular use of phone, email, and video conferencingOccasional travel to assigned facilities may be requiredAbility to manage a high volume of tasks, calls, and correspondence in a fast-paced environmentWhat we can offer you as a full-time associate:Competitive payPaid HolidaysPaid Time Off Program (PTO)401(k) w/Employer MatchFlexible Spending Account (FSA)Health Savings Account (HSA)Medical, Dental, and Vision ProgramsBasic Life/AD&D InsuranceLong-Term Disability (LTD)Why work for Novo Health Services?NOVO Health Services strives to be the employer of choice in the hospital sterile and hygienically clean linen industry.
