The Administrative Office of the U.S. Courts (AO), Department of Administrative Services, Financial Management Office (FMO), is seeking an experienced Management Analyst to join its team. FMO is responsible for disbursing funds, managing registry and retirement investments, maintaining the judiciary's official accounting records, preparing financial reports for the Department of the Treasury and the Internal Revenue Service, and providing accounting policy guidance and support. The Management Analyst provides a broad range of administrative, operational, and executive support as a key partner to the FMO Chief and Deputy Chief. As the front office gatekeeper for FMO, the Management Analyst plays a crucial role in strategically supporting the initiatives, projects, programs, and operations. This position reports to the FMO Chief. The ideal candidate is adaptable to a fast-paced environment, effectively manages multiple competing priorities, and demonstrates a commitment to continually developing new skills and knowledge to support a rapidly changing environment. The ideal candidate is highly organized, thinks in terms of workflows and process improvement, proactively identifies and resolves inefficiencies, performs well under pressure, and works both independently and collaboratively. In addition, the incumbent has strong interpersonal skills to build and maintain effective communication with other staff and offices, the ability to anticipate management needs and resolve issues before they arise, and mastery of office software. The duties of this position include, but are not limited to:

1. Providing comprehensive, confidential, administrative, and executive support to the FMO Chief and Deputy Chief.
2. Reviewing, evaluating, and managing confidential correspondence, reports, briefing materials, and other documents submitted for review and approval, including tracking and processing to ensure accuracy, completeness, and compliance with standards and guidelines.
3. Managing the office calendar, strategically scheduling complex meetings, and resolving conflicts.
4. Preparing and coordinating meeting materials, logistics, and maintaining long-range calendar planning.
5. Monitoring incoming mail, email, telephone calls, and routing inquiries to the appropriate staff or AO offices for further action.
6. Serving as a liaison between the FMO Chief and other AO executives, managers, and staff promoting effective communication and information sharing while exercising sound judgment, discretion, and confidentiality.
7. Coordinating and compiling meeting materials, including agenda development and updates, talking points, briefing notes, presentations, and other materials for meetings and conferences.
8. Coordinating travel arrangements for the FMO Chief, including developing travel itineraries, assembling meeting materials, and completing travel vouchers and expense reports.
9. Developing and maintaining office protocols and procedures in coordination with the DAS office team and stakeholders, including maintaining the office procedures manual.
10. Managing the office's purchase cards, including maintaining records of obligations, requisitions, purchases, reconciliations, and payments, and reviewing and processing monthly statements.
11. Developing and maintaining financial tracking tools to monitor expenditures, obligations, and service requests.
12. Planning and coordinating logistical support for meetings, training sessions, conferences, and other FMO-sponsored events.
13. Developing and maintaining content for the FMO SharePoint home front site to ensure information is current and accessible.
14. Serving as FMO move coordinator and custodial officer; and managing office furniture, equipment, and front office supplies.
15. Serving as a Contracting Officer Representative for several FMO contracts.
