What You'll Do

The Facilities Specialist is responsible for maintaining assigned facilities and supporting day-to-day operations under the direction of the Facilities Manager. You'll ensure properties, equipment, and building systems are properly maintained and operating in accordance with organizational policies, state regulations, and health and safety standards.

Facilities Maintenance

• Ensure proper maintenance of all assigned premises.

• Complete routine maintenance and emergency repairs.

• Carry out established preventative maintenance (PM) orders.

• Perform routine inspections and maintenance of HVAC systems, smoke detectors, sump pumps, dryer vents, well filters and UV lights, fire and alarm panels, and other facility equipment.

• Complete facilities-related work orders.

• Perform general property maintenance, including appliance repair, minor plumbing repairs, minor electrical work, drywall repair, painting, deep cleaning and organization, door replacement, and other maintenance tasks.

• Ensure all facilities are operating in a safe and proper manner.

Emergency & On-Call Response

• Respond to emergency and on-call maintenance situations.

• Participate in the on-call rotation as needed.

• Report equipment-related emergencies to Apis Services Facilities Management.

• Respond to alarms and other emergency situations outside of regular business hours when required.

• Serve as designated essential personnel during emergency situations.

• Occasionally arrive early, approximately 6:00 AM, to open facilities and provide access to contractors.

Work Orders & Preventative Maintenance

• Track and update work orders using the company's computerized maintenance management system.

• Complete assigned preventative maintenance tasks within established timeframes.

• Identify maintenance concerns and communicate issues to Facilities Management.

• Report and coordinate program concerns identified while on-site with Facilities Management and/or the VP of Business Operations.

Collaboration & Customer Service

• Liaise with onsite building leadership.

• Work collaboratively with staff, contractors, vendors, and Facilities Management.

• Communicate clearly and professionally when addressing maintenance needs and facility concerns.

• Support special projects and other Facilities Department initiatives as assigned.

• Travel between company locations as needed.

• Perform or assist with seasonal duties, including snow removal.

• Assist with special projects and facility improvement initiatives.

• Perform other duties as assigned.

Qualifications

Education & Experience

• High School Diploma or equivalent required.

• 3–5 years of experience in facilities maintenance or equivalent related functions preferred.

• Knowledge of general maintenance methods, operating requirements, and safety precautions related to facilities maintenance.

Preferred Experience

• Knowledge and experience in building and household maintenance.

• Experience with building and household construction and repair.

• Experience performing skilled maintenance work.

• Technical specialty program, certification, or related training.

• Experience with HVAC preventative maintenance and troubleshooting.

• Experience using computerized maintenance or property management software.

Skills & Requirements

• Excellent organization and communication skills.

• Ability to work independently within an established framework of responsibilities.

• Ability to troubleshoot and resolve general maintenance issues.

• Ability to safely operate hand, electric, motorized, light, heavy, and specialized equipment.

• Ability to use common maintenance tools and equipment.

• Ability to communicate respectfully and effectively with residents, families, staff, contractors, and external partners.

Physical Requirements & Working Conditions

This position requires the ability to perform physical tasks associated with facilities maintenance, including:

• Sitting, standing, reaching, bending, stooping, twisting, and climbing stairs.

• Driving between multiple company locations.

• Operating hand tools, electric tools, motorized tools, and specialized equipment.

• Working with household appliances and furnishings.

• Climbing ladders and working at heights.

• Lifting up to 50 pounds without restriction .

• Performing work in office environments, residential homes, community living arrangements, and outdoor weather conditions.

Safety, Compliance & Training

The Facilities Specialist is expected to comply with all applicable organizational, regulatory, and safety requirements, including:

• OSHA requirements and guidelines

• Fire and Safety policies and procedures

• HIPAA policies and confidentiality requirements

• Bloodborne Pathogens and Right-to-Know requirements

• Security policies and procedures

• Residential policies and procedures

• DPW and Title 55 regulations

• Fiscal, Office, and HR policies and procedures

• Required organizational trainings and meetings

Additional Requirements

Driver Requirements

• Current valid driver's license.

• Current vehicle registration.

• Functional vehicle and ability to travel between company locations.
