Executive Assistant

Job Type: Direct hire

Compensation: $100,000-110,000/year + annual bonus

Location: Alexandria, VA (onsite)

We are seeking an Executive Assistant & Office Manager to support senior leadership and help maintain a highly organized, professional office environment. This person will serve as a trusted partner to the President & CEO, while also providing administrative and operational support to the broader leadership team. The ideal candidate is proactive, polished, discreet, and comfortable managing multiple priorities in a fast-paced setting.

Responsibilities

  • Provide high-level administrative support to the President & CEO and senior leadership team
  • Manage complex calendars, scheduling, meeting logistics, and travel coordination
  • Prepare correspondence, presentations, briefing materials, and other executive documents
  • Coordinate executive meetings, agendas, minutes, and follow-up action items
  • Support board and executive committee logistics, communications, and materials
  • Assist with leadership meetings, offsites, and strategic planning sessions
  • Oversee daily office operations to ensure an efficient and welcoming environment
  • Manage vendors, office supplies, service contracts, and facilities-related needs
  • Support onboarding logistics for new employees and visitors
  • Answer and route incoming office calls as needed
  • Provide oversight, mentoring, and day-to-day support to Administrative Coordinators
  • Manage expense reporting, invoicing, and budget tracking
  • Help improve administrative systems, processes, and overall operational efficiency
  • Provide administrative support to the HR Director

Requirements

  • 5+ years of experience supporting senior executives such as a CEO, President, or equivalent
  • Proven ability to manage complex schedules and shifting priorities under tight deadlines
  • Strong organizational, time-management, written, verbal, and interpersonal skills
  • High level of professionalism, judgment, and discretion with confidential information
  • Strong proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel
  • Ability to work both collaboratively and independently
  • Experience with office management, facilities coordination, or board support is preferred
  • Experience in a trade association, nonprofit, or membership-based organization is a plus
  • Familiarity with CRM or membership management systems is helpful
