ABGi USA is hiring on behalf of one of our public accounting firm clients in Foxborough, MA. Our client is an established public accounting and business advisory firm providing tax, accounting, consulting, and financial advisory services to businesses and individuals. The firm works with a diverse client base and is known for handling both traditional accounting needs and more complex financial engagements. They are seeking a highly organized and proactive Tax Operations Coordinator to join their growing team. This individual will report directly to the Head of the Tax Department and provide operational, administrative, and workflow support to the firm's tax professionals. This role is central to keeping the tax department organized and running efficiently, including coordinating filings, maintaining compliance calendars, managing client documentation, supporting billing and bookkeeping processes, and ensuring deadlines are met. The ideal candidate is detail-oriented, comfortable managing multiple priorities, and confident communicating with both senior professionals and clients. Key Responsibilities Maintain tax return, extension, estimated payment, and compliance calendars Coordinate electronic filing of federal and state tax returns and extensions Monitor filing transmissions, acknowledgements, rejections, and acceptance statuses Prepare and distribute tax organizers, engagement letters, and related client materials Track outstanding signatures, documents, authorizations, and filing requirements Coordinate client document intake, scanning, electronic organization, and return delivery Maintain and update workflow and practice management systems throughout each assignment Manage calendars and coordinate onsite and offsite meetings around departmental priorities and deadlines Prepare selected client invoices and assist with productivity reporting and work-in-process workflows Perform basic bookkeeping and account reconciliations for selected client accounts Manage CPE and certification tracking and reporting Assist with staff training, onboarding, meeting coordination, and general departmental administration Provide limited reception coverage, including greeting visitors, answering phones, and supporting front-office operations Identify opportunities to improve workflows and overall departmental efficiency Provide professional and responsive support to clients and internal team members Education & Experience Associate degree in Business Administration, Accounting, or a related field preferred Previous experience in an accounting, tax, legal, or professional services environment preferred Coordinator, administrative, or operations experience within a professional office environment Basic bookkeeping and account reconciliation experience preferred Technical Skills Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint QuickBooks experience preferred Experience with tax, accounting, workflow, or practice management software preferred What We're Looking For Highly organized with the ability to manage multiple priorities and deadlines Strong attention to detail and follow-through Excellent written and verbal communication skills Proactive problem solver who can anticipate needs Comfortable working in a deadline-driven environment, particularly during busy season Adaptable and able to shift priorities when needed Professional and discreet when handling confidential client and financial information Team-oriented with a willingness to support both tax professionals and overall office operations Benefits Annual performance-based bonus eligibility Medical, dental, and vision insurance 401(k) with employer match Paid Time Off and paid holidays Life and disability insurance Employee Assistance Program Professional development opportunities #J-18808-Ljbffr ABGI Group
