Austin, TX Onsite Contract/Temporary Administrative $45 - $61/hr 2+ years Posted 4 days ago Job Description Location : Austin, TX Work Schedule : Monday - Friday, 8:00 AM - 5:00 PM, Onsite Compensation : $45.00 - $61.00 per hour Position Summary: We are seeking a proactive and experienced Office Operations Manager to oversee and optimize physical workplace operations at our regional hub in Austin. This role is critical in maintaining a clean, safe, and highly functional workspace, supporting vendor coordination, process improvements, and onsite event logistics. As a key member of the facilities team, you will work closely with cross‑functional partners including IT, security, and legal to ensure operational excellence and workplace safety. This position offers an excellent opportunity to contribute to a dynamic and collaborative work environment while gaining valuable experience in workplace operations management. Key Responsibilities: Vendor Coordination & Site Readiness: Act as the primary onsite contact for janitorial and porter service vendors; conduct daily walkthroughs to ensure cleanliness and quality standards are met, monitor SLAs, and elevate issues as needed. Operational Documentation & Process Improvements: Develop and maintain operational documentation; assess workflows to streamline ticketing (using Jira, ServiceNow, etc.), inventory management, and utilize AI tools for process automation. Space Optimization & Workplace Analytics: Continuously evaluate space utilization to support hybrid work models, seating arrangements, and future planning; track and report on facilities metrics for data‑driven decision‑making. Onsite Event Management: Provide logistical support for onsite events, including team meetings, executive visits, and special cultural moments; coordinate with global events teams and local POCs to handle seating, catering, building access, and related needs. Required Qualifications: Minimum of 5 years of hands‑on experience in facilities coordination, corporate operations, or premium hospitality services within a fast‑paced environment. Proven expertise in managing external vendor relationships, particularly janitorial, facilities, and catering services. Strong analytical skills with the ability to identify inefficiencies and implement practical process improvements. Excellent communication and collaboration skills, capable of working effectively at peer level with cross‑functional teams. Technical proficiency in Google Workspace, workplace ticketing systems, and event coordination tools. Experience leveraging AI or automation tools to improve operational workflows. Preferred Skills & Experience: Experience with Jira, ServiceNow, or similar ticketing systems. Background in facilities management or space planning. Ability to assess and improve physical space utilization and workplace metrics. Strong organizational skills and attention to detail. Ability to manage multiple priorities in a dynamic environment.
