Agency Operations & Commission Specialist

Reports to: Director of Insurance Operations Exempt Remote or Hybrid Role The Agency Operations & Commissions Specialist serves as the firm’s primary resource and operational subject matter expert for our case management & commissions platform – Agency Integrator. This role is responsible for ensuring the integrity, efficiency, and accuracy of agency operations by managing commission processing, carrier contracting, reporting, workflow optimization, and the complete policy lifecycle for life insurance, disability insurance, and annuity business. Knowledge of & previous experience with Agency Integrator or iPipeline platforms highly preferred, but not required. Working closely with advisors, case managers, new business, accounting, and leadership, this individual develops reporting, maintains data integrity, improves operational processes, and serves as the firm’s subject matter expert for Agency Integrator. Primary Responsibilities Agency Integrator Administration Serve as the firm's primary administrator for Agency Integrator, our case management & commissions platform. Maintain accurate agency data, records, and system configurations. Develop and improve workflows and operational processes within the platform. Identify opportunities for automation and increased efficiency. Train team members on best practices and system functionality. Reporting & Business Intelligence Design, build, and maintain operational and management reports. Produce recurring reports for: Production Pending business Case status Commission activity Carrier metrics Advisor performance Analyze data trends and recommend process improvements. Ensure data integrity across all reports. Commission Management Process and reconcile life insurance, disability insurance, and annuity commissions. Investigate commission discrepancies with carriers. Track outstanding commissions. Ensure timely and accurate commission payments. Maintain commission audit trails and documentation. Contracting & Licensing Support Coordinate advisor contracting and appointment requests. Track carrier appointments and contracting status. Maintain accurate licensing and appointment records. Work with carriers and contracting partners to resolve issues. Monitor renewals and compliance deadlines. Case Lifecycle Management Oversee policy tracking from submission through placement and ongoing servicing. Monitor pending business. Ensure case milestones are updated accurately. Maintain policy status throughout the client lifecycle. Support advisors and operations staff with case management. Data Quality & Process Improvement Audit system data for accuracy and completeness. Establish data governance standards. Create standardized procedures and documentation. Recommend improvements to increase operational efficiency. Assist with implementation of new Agency Integrator features and updates. Required Skills & Qualifications 3+ years of experience in insurance operations, commissions, or agency administration. Knowledge of life insurance, disability insurance, and annuity products. Strong Microsoft Excel skills. Excellent analytical and problem-solving abilities. High attention to detail and organizational skills. Ability to manage multiple priorities and deadlines. Preferred Experience with Agency Integrator (preferred). Experience with carrier contracting and licensing. Experience creating operational reports and dashboards. Understanding of commission structures and reconciliation.
