Walk to State is seeking an Administrative Assistant to join our team! You will be our company's first impression to clients at the office, via phone, and on site visits while also performing clerical and administrative functions in order to support the team and drive company success.

Responsibilities:

• Handle customer inquiries and issues with high quality customer service
• Accurately answer inbound telephone calls and emails in a timely manner
• Draft and track status of correspondences and other formal documents
• Maintain organized filing and data retention systems (physical and digital)
• Communicate professionally and effectively with tenants, vendors, and internal staff
• Coordinate follow ups with work orders, client leads, and vendors for quality assurance and feedback
• Plan and schedule appointments, marketing, and events
• Visit properties to perform property showings, condition reports, gather marketing information, documentation photos
• Produce and distribute marketing or project information to sites and clients
• Installing and removing lockboxes from homes and providing vendor/ client access
• Provide information about our properties and services to prospects and vendors
• Accurately document and update client records based on interactions, site visits, status changes
• Develop and maintain a knowledge base of the property portfolio and services provided
• Create, distribute, and maintain marketing materials
• Assist with maintaining office supplies, equipment, and general office organization
• Become proficient in AppFolio, Google Workspace, and other company systems
• Perform other tasks as assigned

Qualifications:

• Previous experience in office administration, customer service, sales, or other related fields
• Self confident and self motivated
• Positive and professional demeanor with team-oriented mindset
• Must have valid driver license
• Must be able to pass background check
• Ability to prioritize and multitask
• Excellent written and verbal communication skills
• Organized and detail oriented
• Comfortable using smartphone and basic apps for photos, communication, and documentation
• Clear understanding of discretion and privacy required if handling personal information
• Fluent in Adobe, Microsoft Office, and Google software systems
• Experience with AppFolio or similar property management software is preferred
• Social media management and website/ graphic design experience are a plus
