Position Overview

We are seeking a professional, friendly, and detail-oriented Front Desk / Patient Services Representative to join our healthcare team. This position is responsible for providing excellent customer service to patients and families while supporting the daily administrative operations of the clinic.

Pay: $17.50 per hour
Schedule: Monday–Friday, 8:30 AM–5:00 PM
Employment Type: Full-Time

Key Responsibilities

• Greet and welcome patients and visitors in a courteous and professional manner.
• Check patients in and out and notify clinical staff of patient arrivals.
• Register patients and schedule appointments efficiently and accurately.
• Answer, screen, and route incoming calls and messages to the appropriate personnel.
• Provide and explain patient paperwork and ensure forms are complete.
• Update patient demographics and insurance information.
• Collect co-pays, balances, and provide receipts.
• Schedule follow-up appointments, outside testing, and referrals.
• Reschedule appointments and document cancellations and missed appointments.
• Maintain and update patient records by scanning reports, notes, and other documents.
• Follow up on outside testing to ensure reports are received and uploaded to patient charts.
• Send completed notes to referring physicians as required.
• Maintain patient confidentiality and comply with HIPAA and applicable state and federal regulations.
• Maintain a clean, organized lobby and adequate office supplies and forms.
• Provide general administrative support, including filing and typing correspondence or forms.
• Perform other duties as assigned.

Qualifications & Requirements

• High School diploma or equivalent required.
• At least 2+ years of front medical office receptionist experience required , including experience with insurance forms and scheduling software.
• Knowledge of the practice's personnel, daily routines, and scheduling procedures is a plus.
• Proficiency with computer systems and Microsoft Outlook, Word, and Excel required.
• Must successfully complete required e-learning courses within 90 days of occupying the position.
• Previous healthcare or medical office experience required.
