Secretary - Ex/Director of Nutrition and Food Service

Administrative Assistant

To provide high-level administrative support to the Executive Director of Nutrition & Food Service and the department.

Major Duties and Responsibilities:

  1. Utilize positive customer service skills to greet and assist office guests in person, on the telephone or by email.
  2. Prepare all correspondence, letters, memos, presentations, spreadsheets and other relevant materials for the Executive Director of Nutrition & Food Service.
  3. Plan, schedule and arrange meetings, conferences, appointments and departmental functions. Coordinate room set-up per reservation requests
  4. Maintain calendars and contacts for the Executive Director of Nutrition & Food Service.
  5. Coordinate and execute all group travel for the department.
  6. Coordinate and maintain all reservations for the NFS department building.
  7. Receive and process mail for the Executive Director of Nutrition & Food Service and department staff.
  8. Coordinate communications among department personnel, schools, patrons and other departments.
  9. Respond to and resolve administrative inquiries and questions.
  10. Maintain files for the Executive Director of Nutrition & Food Service and the Department.
  11. Update personal employee information as needed.
  12. Maintain and track 238 requirements for NFS employees.
  13. Communicate pertinent payroll information via email or telephone.
  14. Assume responsibilities as the primary back-up for the processing of payroll. Assume duties with payroll as needed directed by the Executive Director of Nutrition and Food Service.
  15. Attend Katy ISD insurance meetings and share pertinent information.
  16. Order and maintain office and office kitchen supplies for the NFS Department building.
  17. Maintain neatness of office common areas; training room, sitting area, copy room.
  18. Work job fairs as requested.
  19. Assume responsibilities as the primary back-up for entering school maintenance requests.
  20. Coordinate activities of department clerical personnel.
  21. Assist other administrators and office staff as needed.
  22. Assist and transfer callers from office main line.
  23. Coordinate department fixed assets.
  24. Assume additional duties as assigned.

Equipment Used:

Personal computer and all appropriate office equipment

Working Conditions:

Ability to work within deadlines and handle frequent interruptions. Ability to handle busy telephones. Maintain emotional control under stress. Prolonged use of the computer. Repetitive hand motions. Flexible and cooperative with other school personnel and district patrons. Maintain confidentiality of the department.
