Client Services Coordinator

Position Overview We are seeking a full-time Client Services Coordinator to join our busy practice. This is a multi-faceted role that combines hands-on file processing, administrative coordination, and significant client interaction. The Client Services Coordinator works closely with the Client Services, Funding, and Drafting Departments to coordinate information, documents, scheduling, and other tasks necessary to keep client matters moving forward. This position is often the hands-on person behind the scenes making sure files are complete, organized, and progressing as they should. At the same time, this is a highly client-facing role. Responsibilities include answering phones, scheduling appointments, greeting and seating clients, taking payments, and responding to client inquiries. Success in this position requires someone who can manage multiple moving parts, prioritize competing demands, stay organized, and maintain accuracy and professionalism throughout the day. Essential Job Functions Process, organize, and maintain client files throughout the firm's workflow. Serve as a hands-on support person and liaison between the Client Services, Funding, and Drafting Departments. Coordinate information, documents, and tasks between departments to keep client matters moving. Manage high-volume incoming calls for new client intake, scheduling, and existing client inquiries. Triage and transfer calls to the appropriate team members. Schedule client appointments and meetings accurately and efficiently. Provide a warm, professional, and welcoming experience for clients, including greeting and seating clients. Process client payments accurately. Update client notes and information in our client management database, Clio. Process mailings and handle file creation and maintenance. Manage multiple concurrent tasks while maintaining accuracy and attention to detail. Identify priorities, anticipate next steps, and follow through to ensure tasks are completed. Assist with administrative tasks and support other Client Services functions as needed. Travel occasionally to our Franklin office to support client meetings and other office needs. Schedule, Location and Job Details This is a full-time position primarily based in our Fishers office, with occasional travel to our Franklin office a couple of times per month to support client meetings and other office needs. The ideal candidate will be comfortable with either a traditional work schedule or an alternative schedule that supports evening appointments on Mondays and Wednesdays. While evening availability is not required, flexibility to accommodate evening appointments is a definite plus.
