REPORTING RELATIONSHIPS:

This position reports to the Deputy Director, Loan Closing Administration and works closely with the Lending Production, Credit and the Finance and Operations teams. 

JOB SUMMARY: 

The Senior Loan Closing Administrator (SLCA) leads and provides advanced expertise and execution support for the national team of LIIF’s internal commercial real estate loan closings. This role serves as a subject‑matter expert and escalation point, supporting high‑complexity transactions and ensuring consistent, high‑quality execution across the closing lifecycle. The SLCA aligns with the lending team and serves as the primary liaison with outside counsel and works as a team member with the lenders once we have an active term sheet. The SLCA ensures accurate, compliant closing of predevelopment, acquisition, construction, and permanent loans for affordable housing, childcare, charter schools, and other community facilities. LIIFs loan products range from unsecured loans to multi lender participation of NMTC loans. This role requires a strong expertise in real estate law, loan documentation (loan agreements, mortgages, notes, deeds, ground leases, guarantees), basic credit and debits of a closing statement, application of off-balance sheet fund closings (not LIIF funds), and management of administrative and compliance activities which include entering loan data into a salesforce nCino loan system preclosing. The SLCA also leads and ensures smooth transition of closed loans to Asset Management and Loan Servicing, working collaboratively across teams and maintaining strong relationships with internal and external stakeholders.

KEY RESPONSIBILITIES:

Loan Closing Administration – 60%

• Manage end‑to‑end pre‑ and post‑closing activities for complex loan structures, including Affordable Housing Loans, Participation Loans with other CDFI’s or national commercial lenders, and other structured commercial loan types.
• Provide subject‑matter expertise throughout the closing process, including review of credit approvals, term sheets, closing checklists, and all items required to close.
• Proactively and independently drive the closing process by coordinating timelines, monitoring progress of conditions, and ensuring all pre‑closing and post‑closing requirements are satisfied prior to funding and after loan closing.
• Accumulate, analyze, and review loan documentation for conformity with credit approval, term sheets, internal policy, and regulatory requirements; assist in negotiating client‑requested changes with counsel that are non-business terms.
• Engage and coordinate with external parties including legal counsel, title agents, insurance agents and if required construction consultants.
• Review and analyze third‑party reports and collateral documentation, including insurance certificates, flood zone determinations, title, survey and zoning documentation, appraisals, environmental and property condition reports, ensuring compliance with governmental regulations and lending standards.
• Coordinate funding, booking, and settlement of transactions, including preparation of funding notices to finance and accounting and or to participant lenders, closing statements, fee collection, wire confirmations, all loan approvals, and delivery of required booking documentation.
• Ensure adherence to all compliance and fiduciary requirements, including internal policies, standard lending regulations, OFAC, AML Beneficial Ownership, and documentation, legal, flood, and insurance standards, including internal training.
• Maintain and confirm data integrity of nCino loan terms preclosing, ensuring accurate deal status updates, timely document uploads to shared loan folders, and complete digital closing files.
• Participate in and occasionally lead projects and continuous improvement initiatives to enhance efficiency, accuracy, risk controls, and borrower experience, including collaboration with the lending team.
• Participate in lending and team meetings, pipeline discussions, and closing meetings with Borrower and Lender teams, delivering high‑quality, personalized service to internal and external clients.
• Coordinate and represent LIIF as a leader on transaction closing calls with borrowers and counsel and other related parties. 
• Onboard new loans from nCino to LMS and create Salesforce ticklers for post-closing, file and track all post-closing requirements.
• Lead internal post-closing meetings and prepare welcome letters for sponsors, timely loan boarding and handoff to Loan Servicing and Asset Management.

Loan Modifications & Extensions//Risk Management – 25%

• Partner with Asset Management to provide critical review of internally or externally prepared loan extensions or modifications, ensuring that approved terms are translated accurately into loan documentation and, further, that they comply with LIIF Lending Policies/manual.
• Ensure all documentation aligns with approval, existing loan documents and is complete with fees accounted for.
• Process and close modifications in nCino loan system and notify Servicing for onboarding.

Reporting and Pipeline Management – 15%

• Keep Loan Officers and Manager informed of progress, delays, or concerns. Monitor Master Closing Log weekly along with nCino target closing dates and amounts to be funded.
• Provide updates in pipeline meetings for modifications and new loans.

QUALIFICATIONS:

Required Qualifications: 

• 7 to 10 years of experience in commercial affordable housing loan closing with a CDFI, commercial loan administration, or a related function, as in a paralegal within commercial real estate, community development finance, or commercial banking.
• In depth knowledge of commercial affordable housing real estate transactions, loan documentation, title process, lien law, UCC filings and closing compliance procedures.
• Can manage multiple complex transactions where transaction is structured differently. 
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook), with strong ability to organize and track data entry requirements in nCino for approvals.
• Strong attention to detail and accuracy, particularly when managing legal documents, compliance checklists, and data entry into systems.
• Excellent project coordination and time management skills with the ability to meet deadlines and manage multiple priorities.
• Strong written and verbal communication skills, including the ability to interact professionally with internal staff, borrowers, title companies, legal counsel, and third-party consultants.
• Demonstrated ability to work effectively both independently and as part of a team in a fast-paced, deadline-driven environment.
• Bachelor’s degree in business administration, finance, real estate, urban planning, or a related field.

Preferred Qualifications: 

• Experience working with loan origination or servicing systems such as Salesforce, nCino, or a Loan Management System (LMS).
• Familiarity with affordable housing, charter school, childcare, or health facility lending.
• Experience closing complex commercial real estate and construction loans.
• Understanding of community development finance, including mission-driven lending practices.
