The Scheduling Coordinator is the friendly voice and first point of contact for our families. You’ll own appointment scheduling, booking, confirming, and managing visits to keep our days full and running smoothly and our provider's time well used. This role is perfect for someone who has previous dental scheduling experience, is organized, personable, and dependable, and who thrives on creating a great experience from the very first phone call.

$20 - $25 hourly

Scheduling & Calendar Management

• Schedule, confirm, reschedule, and cancel patient appointments.
• Manage the daily and weekly schedule to minimize gaps, maximize provider time, and keep wait times low.
• Maintain and work a recall/re-care list so patients return for routine check-ups and treatment.
• Fill last-minute openings from a cancellation/ASAP list to keep the schedule full.

Patient Communication

• Answer incoming calls warmly and professionally; respond to voicemails, texts, and emails promptly.
• Send and manage appointment reminders and confirmations.
• Greet families, answer scheduling questions, and set clear expectations for each visit.
• Help new patients get started, gathering information and guiding them through first-visit steps.

Front Office Support

• Verify and update patient demographic and insurance information at scheduling.
• Coordinate with clinical and treatment-coordination staff to ensure appointments are sequenced correctly.
• Keep accurate records in the practice management software and protect patient privacy (HIPAA).

Required

• 1–3 years of dental front desk, scheduling, or customer service experience.
• Warm, patient-friendly communication style, comfortable and kind with children and parents.
• Strong organization and attention to detail; able to juggle a busy phone and calendar.
• Comfortable with computers, scheduling software, and general office technology.
• Reliable, punctual, and a team player.

Preferred

• Experience in a pediatric or dental practice.
• Familiarity with Eaglesoft dental practice management software.
• Basic understanding of dental insurance and verification.
• Bilingual (English/Spanish) a plus.
