Job Title Genetic Counselor Coordinator Location Melchiorre Cancer Center, Cooperman Barnabas Medical Center, 112 Old Short Hills Road, Livingston, NJ 07039 Department Cancer Services Patient and Family Employment Type Full-Time (Salaried) Shift Day Pay Range $50,000.00 - $60,000.00 per year (NJ) Job Overview The Genetic Counselor Coordinator is responsible for patient intake, scheduling, and providing information about the genetic counseling program to patients, their loved ones, and staff. The Coordinator maintains the patient schedule for all Northern Region Genetic Counselors across multiple sites. Essential Functions / Responsibilities Provide administration, analytical, computing, and staff support for Oncology Genetic Counselors in the Northern Region. Execute assignments and tasks requiring data collection, information gathering, analysis, data entry and retrieval, database maintenance, and use of various software packages. Manage communication and scheduling for Genetic Counselors at Melchiorre Cancer Center, Ambulatory Care Center, Newark Beth Israel, Clara Maass Medical Center, Jersey City Medical Center, and Trinitas Regional Medical Center. Maintain Genetic Counselors Patient Log for each site. Screens calls and provides information in accordance with departmental policy. Receives and handles incoming correspondence, schedules appointments, and responds to inquiries. Explains to patients the genetic counseling and testing process and basic understanding of genetic test results to triage patients appropriately. Identifies patients who need urgent appointments based on their recommended treatment plan. Assists in coordinating the collection of genetic test specimens such as skin punch biopsy, blood, and saliva samples. Completes Genetic Counseling Intake and Registration as required. Enters all necessary patient demographic, insurance, and scheduling information into EPIC system. Verifies patient insurance information, identifies if authorization is required, and follows due process. Works closely with Genetic Counselors and EPIC team to learn new applications and troubleshoot problems. Stays current with all mandatory training sessions for EPIC, billing, and hospital required Net learning sessions. Mail/Email the Genetic Counselor packet to new patients and follows up on the medical and family history forms. Files information to the appropriate section of the EPIC chart and places reminder phone calls to patients regarding turning in completed packet prior to appointment. Schedules follow‑up appointments as needed and maintains a list of labs approved for insurance. Works collaboratively with Genetic Counselor’s, appropriate hospital personnel, and laboratory staff to ensure that services are coordinated and delivered to patients in a timely manner. Works collaboratively with similar positions in the central and southern regions to meet patient needs across the system. Creates a scheduling team for the genetic counselors across the System Oncology Service Line to cross‑cover for each other and ensure continuity and timely care. Qualifications Required: Bachelor's degree in Business Administration, Social Science, Liberal Arts, or a related discipline. Three years of related experience in office management with scheduling experience. Dependable, flexible, and people oriented. Excellent oral and written communication skills and a highly professional demeanor in person and on the telephone. Computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, Access, and PowerPoint. Proficient in navigating multiple EMRs, specifically EPIC. Preferred: Knowledge of medical terminology.
