Senior Billing Specialist

Our client, a nationally recognized law firm is seeking an experienced Senior Billing Specialist to join its Finance team. This role is responsible for managing a sophisticated portfolio of clients and attorney billings across multiple practice groups, ensuring accurate, timely, and compliant invoicing while delivering exceptional service to attorneys and clients.

The ideal candidate will possess strong legal billing expertise, advanced knowledge of Aderant Expert , and a proven ability to navigate complex billing arrangements, outside counsel guidelines, electronic billing platforms, and high-volume invoice processing. This position offers the opportunity to work within a collaborative, fast-paced professional services environment supporting a diverse client base nationwide. This role comes with a flexible hybrid schedule in Downtown Chicago.

Key Responsibilities

• Manage the complete billing lifecycle for a portfolio of attorneys, practice groups, and clients.
• Prepare, review, edit, and finalize monthly prebills and invoices in accordance with client requirements and firm policies.
• Partner directly with attorneys, legal assistants, and clients to resolve billing inquiries and ensure timely invoice submission.
• Process complex billing arrangements, including:
• Alternative fee arrangements (AFAs)
• Fixed-fee engagements
• Split billing
• Multi-matter and multi-payor billing
• International billing requirements
• Ensure compliance with client outside counsel guidelines and billing protocols.
• Submit invoices through various electronic billing platforms and resolve invoice rejections and appeals.
• Monitor billing schedules and proactively manage work-in-progress balances.
• Analyze billing data and generate reports for attorneys and firm leadership.
• Review time entries and billing narratives for accuracy and compliance.
• Assist with month-end and year-end billing close activities.
• Identify opportunities to improve billing processes, efficiency, and client service.
• Support special projects and system enhancements related to billing operations.

Qualifications

Required

• Minimum 5 years of legal billing experience within a law firm or professional services environment.
• Advanced proficiency with Aderant Expert .
• Strong understanding of legal billing principles, client guidelines, and e-billing systems.
• Experience managing high-volume and complex attorney billing portfolios.
• Knowledge of LEDES billing formats and common e-billing platforms.
• Advanced Microsoft Excel skills.
• Exceptional attention to detail and accuracy.
• Strong organizational and time management skills.
• Excellent written and verbal communication abilities.
• Ability to prioritize competing deadlines in a fast-paced environment.
