SUMMARY: Senior Conference Assistant


Responsible for the leadership and daily operations of DU's Camps and Conferences. This includes leading and supporting the Conference Assistants, facilitating the check-in and check-out processes for participants, and all preparation and post-camp follow-up. They will also be responsible for greeting and registering visitors; acting as a resource person; responding to emergency situations; and leading the front desk. They will facilitate communication with Security Services in the ongoing safety and security of the residence halls. This job will include evening, late night, and weekend responsibilities, and leading the duty rotation for on-call response during camps and conferences. These responsibilities are performed in an ethical manner consistent with the University's mission, vision, and values which include diversity, equity and inclusion.

RESPONSIBILITIES:

1. Assists with the security of the building and safety of the camp and conference participants.
2. Organize, create and facilitate meetings and training for Summer Conference Assistant staff.
3. Develops the desk operations and responsibilities including welcoming and assisting persons entering the residence hall, mail, guest services, check-ins and check-outs.
4. Contacts and facilitates expectations with the Camps and Conference lead person, ensuring GREAT customer services.
5. Attend all meetings, training and scheduling sessions as required as a part of the Residence Life team.
6. Perform building rounds and serve in the on-duty rotation schedule during camps and conferences.
7. Coordinate with camp and conference leaders regarding participant room placement and conference details.
8. Acts as a resource person by offering and giving assistance whenever possible.
9. Familiar with Davenport University policies, be able to answer questions regarding them, and address policy violations as they occur.
10. Leads with building and room checks prior to guests' arrival and following departure.
11. File work orders for facility concerns.
12. Assist with post-closing work (May) and pre-opening work (August).
13. Maintain accurate and detailed records of all activities and transactions that occur during camps and conferences.
14. Organize and implement other responsibilities such as: making, posting, or removing signs; collating; delivering messages; and other basic clerical duties. These duties will vary and include having a great attention to administrative detail.
15. Provides GREAT customer service, anticipating and exceeding the needs of our customers.
16. Demonstrate and promote the University Cultural Values.
17. Understand and abide by all external and internal regulations and policies. This includes NCAA, GLIAC and national affiliations associated within athletics or other role specific regulations.
18. Performs other duties as assigned.

QUALIFICATIONS:

• High school diploma or GED equivalent.
• Must be enrolled in a minimum of 6 credit hours and meet the standards of academic progress.
• Minimum grade point average 2.5 (Senior Conference Assistant) and 2.25 (Conference Assistant).
• Preference will be given to students with experience living and/or working in the residence halls.
• Customer Service Experience strongly preferred.
• Ability and willingness to work as a part of a team.
• Flexibility in work availability as required by the weekly schedule. Based on conference schedules, several dates will be deemed "all staff" work days. Ability to work effectively in a live-in environment that includes many night and weekend hours.
• Demonstrated ability to work accurately and effectively with computerized data systems (PC and mainframe).
• Demonstrated ability to work effectively with people of diverse backgrounds and promote a positive working environment, spirit of cooperation and positive reactions to change and conflict resolution.
• Demonstrated excellent interpersonal, communication and presentation skills, both written and oral which transcend diverse audiences.
• Demonstrated ability to communicate effectively and relate well to students, parents, faculty, staff, and others while maintaining appropriate confidentiality.
• Demonstrated motivational and problem solving capabilities with a high degree of integrity, ethics, and dedication to the mission of the University.
• Business office/Residence hall environment. Prolonged sitting and standing. Use of personal computer and telephone (eye and hand strain).
• Some travel between locations required (own transportation). No regular lifting requirements, occasional lifting up to 50 pounds.
