Project Manager Assistant at Stantec Chandler, AZ

Overview Stantec seeks a Project Manager Assistant to support the Project Management team at its Chandler, AZ office. The role involves administering contracts, managing scheduling and invoicing, and providing support to project teams across the Southwest. Key Responsibilities Administer contracts from initiation to close‑out. Track and log proposal and contract status throughout approval cycles. Process subcontracts, insurance requirements, accounts receivables/payables. Create and update Project Setup Forms, Project Implementation Plans, and Project Files. Prepare contract documents, letters, or reports as assigned. Learn and use client communication portals for transmittal of documents and invoices. Code invoices and expense reports; correspond with vendors and accountants on revisions. Assist PMs with ISO‑9001 Quality Management System compliance and project audits. Track, analyze, and maintain project financials with Technical Leads, Managers, and Leadership. Enter and maintain staffing assignments in internal resource management tools. Receive and process information in varying formats (reports, spreadsheets, emails, meetings, schedules). Develop working knowledge of Oracle PM Dashboard. Act as primary point of contact for administration activities (RFI, submittals, document control). Perform routine administrative support: document production, editing, formatting, file management, travel coordination, expense reporting. Capabilities and Credentials Proficient in Microsoft Office Suite, Microsoft Project, and Adobe Acrobat. Ability to multi‑task and prioritize in fast‑paced environments. High level of precision in task execution. Strong command of written and verbal English. Quick learner for new software applications. Preferred: Experience in professional A/E industry. Education & Experience Technical degree, diploma, or certificate in related field or equivalent combination of education and experience. Minimum two years of relevant work experience. Ability to maintain confidentiality.
