Marketing Coordinator

Position Overview The Marketing Coordinator is responsible for coordinating and trafficking marketing, sales, and communication initiatives for O’Neil Printing, Printing Solutions, Rule29, and YB2. This role serves as a central point of coordination between Sales, HR, Brand, Marketing, and Rule29, helping ensure projects are clearly defined, appropriately prioritized, assigned to the right resources, and completed on time. The Marketing Coordinator will also work with Rule29 when additional strategic, creative, digital, or production support is needed, helping determine which projects should be handled internally and which are best supported by Rule29. What You’ll Do Marketing Project Coordination Coordinate and traffic marketing requests across O’Neil Printing, Printing Solutions, and YB2 Receive, organize, clarify, and prioritize incoming marketing and communication needs Develop clear project briefs outlining goals, audiences, deliverables, timelines, stakeholders, and approvals Assign and route projects to the appropriate internal or external resources Track projects, deadlines, approvals, responsibilities, and next steps Follow up with stakeholders to gather missing content, information, imagery, feedback, and approvals Identify potential delays or scheduling conflicts and proactively help resolve them Maintain organized marketing calendars, project lists, and campaign schedules Ensure completed marketing and sales materials are organized and easily accessible The role builds on O’Neil’s existing approach of tracking creative requests, deadlines, approvals, and project status while helping prevent delays caused by missing information or unclear ownership. Work closely with the Sales team to understand and coordinate marketing needs that support prospects, customers, and business development. Responsibilities may include coordinating: Sales presentations and pitch materials ActiveCampaign management Brochures and capabilities materials Case studies and customer success stories Sales samples and kits Promotional materials Testimonials, reviews, and Net Promoter Score (NPS) programs Trade show and event materials Campaign support Other tools that help Sales communicate O’Neil’s capabilities effectively HR & Internal Communications Partner with HR to help organize and coordinate internal communications and employee-facing initiatives, which may include: Company announcements Employee communications Internal campaigns Leadership communications Culture and ESOP initiatives Employee events Internal signage and environmental communications Coordination of content, approvals, timing, and distribution Brand & Marketing Work with Brand and Marketing leadership to coordinate ongoing marketing initiatives across the organization. Responsibilities may include: Brand initiatives Marketing campaigns Website updates Digital and social media Content marketing Photography and video Advertising Events and sponsorships Environmental graphics Promotional initiatives Strategic communications The Marketing Coordinator should understand how these channels work together and help ensure communication is consistent across brands and audiences. Rule29 Coordination An important part of this role is helping determine the appropriate resource for each marketing project. The Marketing Coordinator will help evaluate with Rule29’s Operations Lead whether work should: Be completed by the internal O’Neil team Use existing templates or established systems Be handled by another O’Neil freelance resource Be assigned to Rule29 for additional strategy, creative, branding, digital, video, or specialized support When Rule29 is involved, the Marketing Coordinator will help provide clear project direction, gather necessary materials, consolidate feedback, coordinate approvals, and keep projects moving. What You Bring 2 to 3 years of professional marketing experience Bachelor’s degree in Marketing, Communications, or a related field Strong organizational and project coordination skills Working knowledge of digital marketing, social media, and strategic communications Understanding of marketing campaigns and how different communication channels work together Excellent written and verbal communication skills Strong attention to detail Ability to manage multiple projects, deadlines, and stakeholders simultaneously Ability to turn informal requests into clearly defined projects and action items Comfort working across Sales, HR, Brand, Marketing, and creative teams Experience with project management, CRM, email marketing, social media, or marketing automation platforms A proactive mindset with the ability to identify what needs to happen next Strong interpersonal skills and a collaborative approach What Success Looks Like Success in this role means marketing work across O’Neil Printing, Printing Solutions, Rule29, and YB2 is organized, visible, and moving forward. Sales has a clear process for requesting support. HR has a partner for coordinating internal communications. Brand and marketing priorities are translated into actionable projects. Rule29 receives well-defined assignments when additional expertise is needed. Leadership has better visibility into what is being worked on, projects have clear ownership, and fewer initiatives are delayed because of missing information, unclear priorities, or lack of follow-through. Ultimately, the Marketing Coordinator helps ensure that the right work gets to the right people at the right time. Working Environment & Physical Requirements This role operates in a collaborative office environment with frequent cross-functional interaction across sales, production, and vendor partners.
