PAS Supervisor

Front Office Supervisor – Internal Medicine The Front Office Supervisor provides leadership, guidance, and oversight for PAS Trainees, Specialists, and Resource Specialists, in line with the operational requirements and customer service philosophy of OHSU and the Department of Internal Medicine. The role directs daily front office functions, patient/clinician flow, compliance with regulations, education and training, HR management, scheduling, quality projects, and safety for staff, patients, and visitors. The Supervisor also supports clinical staff, including support for clinical support staff and providers. Function / Duties of Position Supervise front office staff and provide daily guidance in problem solving, monitor competency completion, recommend salary increases, and manage PASS work; serve as backup for all front office and clinical staff functions. Collaborate with the Practice Manager to recruit, train, counsel employees, develop work plans, and manage discipline up to dismissal; participate in evaluations and set short- and long-term goals. Manage staff schedules in Kronos, encourage a cohesive team approach, and lead by example while giving ongoing feedback. Monitor clinical operations: investigate scheduling errors, patient flow, rescheduling, clinician time utilization; recommend and implement changes to improve efficiency. Supervise Managed Care Coordinators (PAS Resource Specialists), set goals, maintain standards, coordinate referral and authorization services, and ensure sufficient FTE support. Deliver high-quality customer service to internal and external customers, communicating promptly, cost‑efficiently, and courteously. Maintain monthly, weekly, and daily staffing schedules, ensuring training compliance; conduct hiring, discipline, and termination in partnership with the Practice Manager; complete employee evaluations and respond to grievances. Track phone system statistics to meet patient satisfaction and prompt care goals. Attend, participate, and lead meetings such as back/front office meetings, quality improvement, labor management, lean, and others; collaborate with leadership team. Provide support for front office and clinical needs. Required Qualifications Associate’s degree or equivalent education and experience. Two years of front‑line clerical experience in a clinical setting with previous leadership experience; experience in managed care, billing, scheduling, and HR. Proficiency with electronic medical records, scheduling, Microsoft Office Suite, HR hiring/training/discipline/termination, budget management, multi‑line phone system, and medical terminology. Preferred Qualifications Bachelor’s degree. Experience in managed care, billing, scheduling, EMR, and HR. Additional Details Available to work Monday–Friday on flexible schedules, with occasional Saturdays; exposure to ill patients. Requires walking through clinics and extended periods at computer stations. All are welcome.
