Executive Assistant

Established private equity firm is looking for an Executive Assistant to support a team of seven across its investment, capital markets, and portfolio operations groups. This is a great opportunity to join a tight-knit Bay Area office at a firm that has grown quickly over the last five years, partnering with a second EA on a busy, high-visibility desk. In this role, you'll own complex calendars and scheduling, coordinate a high volume of travel for conferences, board meetings, and deal meetings, manage expenses, and support the operations team on events and firm-wide initiatives. Someone who is polished and professional, naturally organized, and brings a no-job-too-small attitude, with the judgment to reprioritize quickly as deals come together or fall apart. Previous experience at a private equity firm, venture capital firm, or hedge fund is strongly preferred. This is an in-office role, 5 days/week, based in Burlingame, and candidates must be based on the Peninsula. 125-150K DOE + bonus, 100% covered benefits, 401K with match, flexible PTO, daily lunch, onsite parking, and a monthly wellness stipend.

Responsibilities:

• Own complex calendar and scheduling management for a team of seven, balancing shifting priorities across the investment, capital markets, and portfolio operations groups.
• Coordinate a high volume of travel, including conferences, board meetings, and deal meetings, often aligning multi-person itineraries.
• Manage and process expenses, and support the transition to a new expense platform.
• Serve as a polished point of contact for external stakeholders, including executives at portfolio companies.
• Partner with the operations team on internal events, team gatherings, and firm-wide initiatives.
• Work closely with the other Executive Assistant to provide seamless coverage across the team.
• Anticipate needs and keep the team a step ahead, flagging conflicts and resolving logistics before they become issues.

Qualifications:

• Previous 3+ years of experience supporting multiple executives in a fast-paced environment, ideally at a private equity firm, venture capital firm, or hedge fund.
• Exceptional organizational skills and attention to detail.
• Strong strategic calendaring skills with the ability to assess priorities and make judgment calls on scheduling without being asked.
• Excellent written and verbal communication skills, with a polished, professional presence when interacting with senior external stakeholders.
• Proactive and solutions-oriented with an instinct to anticipate needs rather than wait for direction.
• Comfortable owning high-volume travel coordination for several people at once.
• Ability to reprioritize quickly and stay composed when timelines shift on short notice.
• A naturally helpful, no-job-too-small mentality, with humility, integrity, and a strong work ethic.
• Proficient with the Microsoft ecosystem, including Outlook, Teams, PowerPoint, and Excel; familiarity with CRM and expense-management platforms is a plus.
• Must be based on the Peninsula and able to work in office 5 days per week.
