HOURS OF WORK:

This is a full-time, exempt position requiring a minimum of 40 hours per week. Additional hours may be necessary to meet operational demands, respond to participant needs, support special events, or fulfill organizational objectives. Candidates should expect occasional evening, weekend, and holiday work, as well as periodic travel. Operation Healing Forces currently offers an optional hybrid work arrangement, with remote work generally permitted on Mondays and Fridays and in-office attendance required Tuesday through Thursday. This arrangement may be adjusted based on participant needs, position responsibilities, and organizational priorities. The OHF Mission: The mission of Operation Healing Forces (OHF) is to serve the needs of America’s wounded, ill, injured, and fallen Special Operations Forces service members, veterans, their families, caregivers, and survivors through a suite of programs that promote long-term mental, physical, emotional, and fiscal well-being. The Opportunity: The SOAR Program Manager, reporting to the SOAR Program Director with oversight from the Chief Program Officer, provides compassionate, non-clinical case management, outreach, referrals, and resource support to eligible wounded, ill, and injured Special Operations Forces service members and veterans, their families and caregivers, families of the fallen, and OHF alumni. The position supports the full SOAR Program portfolio in accordance with OHF policies, program guidelines, grant requirements, and mission scope. Primary Immediate Needs Program Responsibilities The Immediate Needs Program (INP), a core component of the SOAR Program, provides urgent financial assistance and crisis support to eligible members of the Special Operations Forces community. Assistance may include in- and out-patient mental health care support; physical health care support; travel and related expenses arising from medical emergencies; medical or adaptive equipment not covered by government programs or other benefits; funeral and memorial expenses; respite support for full-time caregivers; and one-time assistance for transition, workforce development, or employment opportunities. Coordinate with OHF team members, the United States Special Operations Command’s Warrior Care Program, community partners, and other referral sources to receive and respondto SOAR Program requests. Assess incoming referrals and requests for assistance to determine eligibility,urgency, and alignment with program guidelines, and obtain the information and documentation necessary to support timely, informed decisions. Process requests in accordance with established Standard Operating Procedures, prioritize urgent needs, and elevate higher-risk or unique matters to the SOAR Program Director or Chief Program Officer, as appropriate. Manage cases through to completion, monitor case aging and overdue items, document follow-up communication, and address barriers to resolution. Promote responsible use of program funds by monitoring assistance costs, identifying partner organization assistance or services, and ensuring case decisions are aligned with approved budgets and authorization levels. Create and maintain accurate, timely, and complete case records in OHF’s Salesforce database, including required documentation, case notes, financial information, referrals, outcomes, and closure information. Provide timely referrals when a request falls outside OHF program parameters, document service gaps, and follow through to determine whether the participant connected with or completed the recommended service. Conduct appropriate participant and partner follow-up to assess satisfaction, determine whether the identified need was addressed, and support program improvement. Additional Program Responsibilities Work collaboratively with the SOAR Program Director, Chief Program Officer, SOAR team, and other OHF departments to support team priorities, shared case coverage, cross-training, and consistent program delivery. Assist with OHF alumni and ambassador events and activities that provide networking, camaraderie-building, family-bonding, resource, and continued-engagement opportunities. Represent OHF at outreach events and build and maintain relationships with military-focused nonprofit organizations, community groups, and service providers to expand access to resources and strengthen referral pathways. Complete SOAR Program administrative responsibilities, including Salesforce data entry, expense tracking, active caseload review, surveys, follow-up activities, and other required program documentation. Assist the SOAR Program Director and Chief Program Officer with the collection, review, analysis, and reporting of accurate program, financial, participant, referral, outcome, and alumni data. Maintain participant confidentiality and comply with HIPAA, OHF policies, standard operating procedures, privacy requirements, grant restrictions, and organizational procedures. Keep the SOAR Program Director informed of urgent cases, workload concerns, partner issues, service gaps, and potential compliance concerns, and support reporting requested by the Chief Program Officer. Contribute practical recommendations that improve program procedures, data quality, service delivery, partner coordination, and participant experience. Track alumni communications, engagement, event participation, referrals, and follow-up, and connect alumni with SOAR support when needs are identified. Perform other duties as assigned. Qualifications: The Ideal Candidate will have: A belief in OHF’s mission. An understanding of or experience with the U.S. Military, especially Special Operations Forces, is a plus. Bachelor’s degree in a field related to the position, or an equivalent combination of relevant education, training, and professional experience. Two to three years of non-clinical case management experience or transferrable program management experience. Ability to multi-task, establish priorities within competing requirements, and meet simultaneous deadlines without diminishing work quality. Exceptional communication and ability to work well with a team. Ability to make decisions independently, combined with the ability to work collaboratively. Willingness and ability to travel and work occasional weekends and evenings. Established proficiency in CRM platforms (Salesforce), Microsoft Office, Google Suite Applications, and virtual conferencing platforms. Access to reliable transportation. Successful completion of a background check. Attention to detail in case documentation, data accuracy, financial tracking, and required reporting. Ability to maintain confidentiality, follow established procedures, use sound judgment, and elevate concerns appropriately.
