This position provides continuity across requirements documentation, release tracking, and quality assurance as the assigned product moves from initial rollout toward broad institutional adoption.

The Senior Product Coordinator acts as the connective tissue between product strategy and day-to-day execution. This is a highly cross-functional role. The Senior Product Coordinator will regularly engage stakeholders across academic units, advising, technical teams, and other institutional partners to gather input, validate requirements, and communicate status — requiring strong judgment about when to escalate, when to document, and when to drive a decision to closure.

As with all members of the Enterprise Technology team, this role carries core responsibilities, including fostering a sense of belonging and cultivating a culture that is relational, visionary, and empowering. With a strong emphasis on authenticity and compassion, this position is dedicated to embodying and advancing our culture.

Position Salary Range: $71,500 - $90,000 per year; DOE

Essential Duties:

  • Translate business needs into user stories, use cases, or functional specifications for development teams

  • Analyze current-state business processes and recommend improvements or system enhancements

  • Maintain requirements traceability from intake through delivery

Data & reporting

  • Analyze data to identify trends, gaps, or opportunities that inform business decisions

  • Build and maintain reports, dashboards, or metrics to track process or system performance

  • Perform gap analysis between current and desired system/process states

Process & documentation

  • Document current and future-state workflows, process maps, and business rules

  • Maintain a repository of requirements, decisions, and process documentation for audits and onboarding

  • Support change management by documenting impacts of proposed changes on existing processes

Stakeholder & project support

  • Serve as liaison between business stakeholders and technical/development teams

  • Facilitate requirements-gathering sessions, workshops, and stakeholder interviews

  • Support UAT (user acceptance testing) planning and execution, including test case development

  • Assist with project planning, scope definition, and prioritization of enhancement requests

Quality & governance

  • Ensure proposed solutions align with business objectives and compliance/regulatory requirements

  • Identify risks or dependencies early in the requirements or design phase

  • Support post-implementation review to confirm delivered solutions meet the original business need

In addition:

  • Leverage AI in routine tasks and contribute ideas for using AI to improve the unit’s efficiency and overall performance.

  • Take responsibility for fostering a positive culture, upholding organizational values, and championing engagement in all its forms.

  • Collaborate across teams and actively participate in ET/ASU events and programs.

Desired Qualifications:

  • Experience eliciting, documenting, and validating business or functional requirements from multiple stakeholder groups.

  • Experience translating requirements into user stories, use cases, or functional specifications for a development team.

  • Experience tracking project or release milestones and managing cross-team dependencies.

  • Experience supporting testing/QA cycles, including test case development and UAT.

  • Demonstrated analytical skills, including the ability to interpret data or usage trends to inform decisions.

  • Strong written and verbal communication skills, with the ability to work directly with both business stakeholders and technical teams.

  • Experience writing and maintaining product requirements documentation in a software or SaaS environment.

  • Experience with roadmap and milestone tracking tools (e.g., Jira, Confluence, Smartsheet) and managing cross-team dependencies.

  • Experience coordinating QA or user acceptance testing cycles ahead of production releases.

  • Experience supporting products in higher education, student information systems, or other enterprise/institutional software.

  • Demonstrated ability to manage multiple release cycles or workstreams concurrently with attention to detail.

  • Demonstrated ability to model empathy, compassion, and emotional intelligence.

  • Experience in a values-driven organization with a strong commitment to inclusion and belonging.

  • Ability to cultivate a psychologically safe environment where all team members can thrive.

  • Capacity to inspire and drive meaningful change in individual, institutional, and corporate behaviors to support a more sustainable environment.

  • Commitment to leading by example through effective communication, active participation, and advocacy for the institution’s sustainability programs.

Working Environment:

  • Activities primarily take place in a standard, climate-controlled office environment and may involve extended periods of sitting, standing, or moving between office spaces.

  • This role involves regular use of a computer (desktop and/or laptop), including a keyboard and mouse.

  • Effective communication and proficiency with a variety of technologies are essential for collaboration with the broader team.

  • Required to stand for varying lengths of time and walk moderate distances to perform work.

  • Regular responsibilities may require the ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
