SUMMARY OF POSITION Under direct supervision, the purpose of this position is to ensure quality customer service, providing direction to visiting citizens and interfacing with other City employees. ESSENTIAL DUTIES AND RESPONSIBILITIES Receives incoming packages for departments, including signing for package and logging information about packages when necessary and notifying appropriate departments of mail received. Performs data entry functions by keying data into computer system: enters, retrieves, reviews or modifies data in computer database; verifies accuracy of entered data and makes corrections. Types correspondence, public relations, record keeping and reports, memoranda, and related materials. Communicates effectively with the public via telephone and in person; relays messages and instructions efficiently. Complies with all written City policies and procedures. Adheres to assigned work schedule as outlined in City and department attendance policies and procedures. WHEN ASSIGNED TO HUMAN RESOURCES Maintains availability to work various work schedules as needed to provide staffing coverage, as for this position it is critical to be in the office at the scheduled time. Ability to exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives. Requires the ability to exercise the judgment, decisiveness and creativity in situations involving a variety of generally pre-defined duties which are often characterized by frequent change. Requires the ability to perform skilled coordinated movements, such as operating a computer terminal, printers, fax machine, two-way radios and various office equipment. MINIMUM QUALIFICATIONS Any work related experience resulting in acceptable proficiency levels in the below Minimum Qualifications may be an acceptable substitute. WHEN ASSIGNED TO CITY MANAGERS OFFICE OR HUMAN RESOURCES High school diploma or GED; supplemented by six (6) months previous experience and/or training involving general office work, receptionist work, customer service, and data entry. PREFERRED QUALIFICATIONS Bilingual English / Spanish preferred. CONDITIONS OF EMPLOYMENT Must pass a drug screen and background check. Must have Class C Texas Driver’s License PHYSICAL DEMANDS Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station. Some tasks require visual perception and discrimination. WORK ENVIRONMENT Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, toxic agents, violence, disease, or pathogenic substances.
