Finance Specialist

Overview Position Title: Finance Specialist Departments: Finance/Business Services Reports To: Vice President, Finance & Business Services FLSA Status: Non-Exempt Pay Range: $24-26 per hour Responsibilities Proactively track and analyze accounts receivable status. Create and maintain AP & AR related Excel spreadsheets. Process routine and timely accounting software entries and bank deposits of cash, checks, ACH, and credit card funds using ISYS’ software for electronic transactions. Travel to corporate banks to make in-person deposits as necessary. Travel to the off-site PO Box to collect incoming mail and deliver outgoing mail three times a week, including courier services as necessary. Process and distribute incoming mail in a timely and accurate manner. Conduct routine deposit and payable count reconciliations to ensure appropriate controls on cash flow. Proactively monitor finance email inboxes for ISYS Solutions and CareerSmart Learning and respond promptly and accurately to inquiries/requests. Assure and maintain accurate customer information for CSL collections. Respond to invoice-related questions and inquiries from customers and internal department personnel. File and organize finance-related documents, including scanning of physical and electronic files. May assist Staff Accountant with accounting adjustments and create journal entries as needed. Process A/P invoices and provide timely and accurate A/P administration and documentation of business expenses; create and maintain management AP excel spreadsheets. Enforce accounting policies and controls; ensure expenses are tracked, within budget, allocated correctly, and consult Finance leadership on required exceptions. Maintain current and accurate vendor information for payment and 1099 purposes. Assist in reviewing and processing submitted expense reports for reimbursement. Generate and distribute finance-related AP & AR reports to leadership on a routine basis. Provide Accounts Receivable/Collections with customer payment status updates as requested. Perform confidential administrative tasks and complete special projects at the request of the CEO, VP of Finance & Business Services, and Accounting Manager. Communicate proactively and keep the Finance leadership team informed on departmental matters. Maintain high level confidentiality and professionalism in all functions. Make proactive recommendations to streamline or automate processes to enhance quality and efficiency. Perform all duties with ISYS’ best interest in mind and in compliance with related laws. Support other executive department assignments as needed to meet organizational functions. Participate in knowledge and skill enhancement programs as authorized by the Accounting Manager. Assure timely and accurate data entry into accounting and other operational software. Communicate with ISYS employees and customers in a polite, courteous, positive, and responsive manner. Creation and upkeep of collections and finance-related Excel spreadsheets. Assist in accounting, finance, and other administrative tasks for ISYS Imperial LLC and ISYS Property & Investments, LLC. Complete ad-hoc reports and projects as assigned by Accounting Manager or VP of Finance & Business Services. Act as primary backup to the Finance & Payroll Administrator and Staff Accountant roles. Knowledge, Skills, and Abilities Demonstrated ability to work autonomously with minimal supervision. Excellent computer skills and internet proficiency, with expertise in Microsoft Excel and QuickBooks. Excellent mathematical ability and accounting knowledge; compliance with accounting principles and practices. Strong English language skills (speaking, writing, reading) and ability to present information clearly. Understanding of financial reporting requirements. General knowledge of ISYS company policy and internal practices. Willingness to learn and seek general or specialized knowledge in Finance and/or Human Resources as needed. Polite, courteous, and professional communications in all situations. Strong verbal and written communication skills with the ability to listen attentively and handle sensitive matters. Proactive research and problem-solving abilities; strong organizational and prioritization skills. Ability to adjust work schedule when required or requested. Trustworthiness and ethical judgment; ability to verify work by double/triple checking and address errors appropriately. Strong analytical skills and the ability to assess broader contexts while handling details.
