Practice Manager

City Health Urgent Care is seeking a highly experienced and results-driven Practice Manager to lead the operational, financial, and personnel management of our clinics in Oakland and San Leandro. This senior leadership role places strong emphasis on staff management, budget oversight, and financial performance, ensuring both locations operate efficiently, profitably, and in alignment with organizational goals. The Practice Manager will drive accountability, optimize resources, and cultivate a high-performing, service-focused team culture. Position Overview The Practice Manager is responsible for comprehensive oversight of clinic operations, with primary focus on team leadership, workforce management, budgeting, and financial stewardship. This role ensures operational excellence while maintaining strict compliance with healthcare regulations and industry best practices. Key Responsibilities Directly supervise clinical and administrative teams across both locations, establishing clear performance expectations and accountability standards Lead recruitment, onboarding, training, and retention strategies to build a stable, high-performing workforce Conduct performance evaluations, implement corrective action plans, and support professional development initiatives Manage staffing models, scheduling, and productivity to ensure appropriate coverage while controlling labor costs Oversee comprehensive EPIC EMR utilization, ensuring staff competency, workflow optimization, and system efficiency Foster a culture centered on collaboration, operational discipline, and exceptional patient service Budgeting & Financial Oversight Develop, implement, and manage annual operating budgets for both clinics Monitor revenue, expenses, and key financial performance indicators to ensure fiscal responsibility Analyze financial reports and implement cost-containment strategies without compromising the quality of care Oversee revenue cycle management, including billing processes, collections, and reimbursement optimization Identify financial trends and implement corrective measures to improve profitability and operational efficiency Payroll & Labor Cost Management Oversee accurate and timely payroll processing in compliance with labor regulations and internal policies Monitor overtime, staffing ratios, and labor utilization to control workforce expenses Ensure proper documentation, timekeeping accuracy, and adherence to wage and hour laws Operational Management Direct day-to-day clinic operations, including scheduling, billing, supply chain management, and facility oversight Implement standardized processes and operational best practices across both sites Ensure seamless coordination between clinical and administrative functions Regulatory Compliance & Risk Management Maintain compliance with HIPAA and all applicable federal, state, and local healthcare regulations Develop and maintain policies and procedures to support regulatory adherence and operational consistency Prepare for audits and ensure documentation standards are met Address escalated patient concerns and implement service recovery strategies Establish performance benchmarks to enhance patient satisfaction and service quality Promote a culture of professionalism, accountability, and responsiveness Strategic Planning & Performance Improvement Partner with providers and executive leadership to develop strategic growth initiatives Analyze operational and financial data to identify improvement opportunities Implement performance improvement plans aligned with organizational objectives Qualifications Education Bachelor’s degree in Healthcare Administration, Business Management, or a related field Experience 3–5 years of progressive healthcare management experience, preferably in urgent care or multi-site environments Demonstrated expertise in staff supervision, budgeting, and financial performance management Extensive experience with EPIC EMR , including workflow optimization and team training Technical & Leadership Skills Strong leadership and team development capabilities Advanced financial acumen, including budgeting and expense management Proficiency in healthcare management software, specifically EPIC EMR Proficiency in Microsoft Office Suite Excellent organizational, analytical, and communication skills At City Health Urgent Care , we are committed to delivering accessible, high-quality care to our communities.
