Account Coordinator - Hybrid

Salary Range: $55,000.00 To $60,000.00 Annually

Bathing Brands is a well-established, growing organization in the steam, sauna, and bathing space. The Account Coordinator plays an important role in supporting Account Managers and customers by providing accurate, responsive assistance throughout the order and fulfillment process.

This position serves as a key point of coordination among Account Managers, customers, and internal teams. The Account Coordinator helps process orders, manage backorders, resolve shipping and warranty-related issues, and ensure customers receive timely and accurate information. The ideal candidate is detail-oriented, organized, responsive, and comfortable managing multiple priorities while delivering a high level of customer support.

This position is hybrid, requiring regular onsite presence with the option for remote work.

Key Responsibilities

Account and Customer Support

• Provide responsive support for customer questions, requests, and order-related needs
• Support Account Managers with day-to-day customer and account activity
• Communicate order updates, backorder information, shipping details, and other relevant information clearly and professionally
• Work with internal teams to resolve customer issues and keep orders moving
• Maintain a high level of accuracy, responsiveness, and professionalism in all customer interactions

Order and Backorder Management

• Process and manage small-to-medium customer orders from DPL through ACU
• Review order information for accuracy, including products, quantities, pricing, and delivery details
• Monitor backorders by customer and item, providing updates and coordinating next steps
• Proactively identify order delays, discrepancies, or other issues requiring follow-up
• Coordinate with Account Managers, Operations, Production, and Shipping to support timely order fulfillment

Warranty, Shipping, and Claims Support

• Track warranty parts and provide updates regarding availability and shipment status
• Coordinate the resolution of products damaged during shipping
• Manage shipping claims and maintain the related documentation
• Track open claims, returns, and other customer issues through resolution
• Follow up with customers and internal teams to ensure issues are addressed promptly

Reporting and Administrative Support

• Maintain accurate customer, order, backorder, return, and claim information in internal systems
• Prepare and maintain reports related to backorders, returns, and claims
• Assist Account Managers with administrative tasks and account documentation as needed
• Provide defined backup coverage to help maintain consistent support for customers and Account Managers

Required Skills and Qualifications

• Strong attention to detail and commitment to accuracy

• Customer-service mindset with the ability to respond calmly and professionally
• Strong organizational and time-management skills
• Ability to manage multiple orders, customer requests, and follow-up items simultaneously
• Ability to work cross-functionally with Account Management, Sales, Operations, Production, Shipping, and Finance
• Proficiency in Microsoft Office, including Excel, Outlook, and Word
• Dependable follow-through and the ability to provide consistent backup coverage

Preferred Qualifications

• Previous experience in account coordination, sales support, order entry, customer service, or a related position
• Experience managing customer orders, backorders, returns, warranty parts, or shipping claims
• Experience working with ERP or CRM systems
• Experience in a manufacturing, distribution, or logistics environment
