Summary The Clinic Supervisor (CS) is a Supervisory Certified Medical Assistant responsible for overseeing supporting operations and administration for a Medical Disability Examination (MDE) Clinic. The CS cultivates an environment that achieves the organization’s mission through quality care, efficiency, and a focus on core values. The CS directs, coordinates, implements, executes, and completes contractual requirements with the goal of delivering a quality experience for Veterans, providers, and communities served. The CS reports to the Area Manager (AM) or to a Clinic Manager (CM) as directed. MDE Job Description: Clinic Supervisor Core responsibilities include: Operational Responsibilities Manages clinical operations of an MDE clinic Supervises the delivery of medical disability services Implements, monitors, and maintains clinical practice and quality management standards Establishes and maintains effective, collaborative relationships with examiners and stakeholders Collaborates with multidisciplinary stakeholders to resolve issues and meet access goals Maintains Veteran care and quality service standards to meet the expectations of Loyal Healthcare and the VA Provides operational accountability for, and coordination of, diagnostic services Ensures examiners deliver high‑quality services to Veterans that comply with VA healthcare standards, as well as local, state, and federal requirements Ensures safety in the clinic by inspecting emergency kits (checking expired items, etc.) and assisting with medical emergencies Recommends and evaluates processes to improve systems and Veteran care results across the continuum of care Assists AMs in implementing policies and procedures Supervises and monitors implementation of clinic policies and procedures that support departmental and organizational goals Assists in resolving administrative and operational issues, including maintenance of clinic property, computer systems, and installed software applications Resolves problems in administrative and clinical areas as needed Performs duties of a Medical Assistant as required Ensures all clinic logs are accurate and timely Clinic Logs Automated external defibrillator (AED) Temperature logs of laboratory fridges Expired medication Fire extinguisher Conducts inventory counts consistently Orders and stocks medication, addressing shortages as necessary Assists with rescheduling appointments when needed Staffing Responsibilities Provides first‑line supervision and time approval for clinic staff Provides staff training and education on medical emergencies and equipment Ensures staff are trained and operate in compliance with all government and regulatory agencies Supervises clinical staff, planning and adjusting staffing daily to maintain safe Veteran care and efficient operations Supervises use and maintenance of equipment, supplies, and medications Evaluates employee performance and recommends merit increases, promotions, and disciplinary actions Ensures staff provide the highest quality of care, complying with the Joint Commission, local, state, and federal requirements Additional Responsibilities Maintains strict confidentiality Ensures compliance with regulations and standards Acts as a Veteran advocate, resolving Veteran care issues Serves as liaison between site and external agencies Participates in management or leadership meetings as requested or directed Assists leadership in developing clinic strategic plans and objectives based on veteran needs Assists in managing and resolving HR, labor relations, employee, and department safety and risk management issues Performs other duties as needed Education and Experience Requirements Current Basic Life Support for Providers, by American Heart Association (AHA) Two or more (2+) years of supervisory or management experience in a health care setting Education and Experience Preferred Medical Assistant with current state certification Associate’s degree or 30+ undergraduate college credits Knowledge Computer literate with proficiency in Microsoft Office, Google Suite, electronic medical records, and ability to learn new applications easily Skills Highly organized and able to work independently Excellent observational, verbal, and written communication skills Abilities Ability to administer conflict‑resolution techniques Ability to work with people from diverse backgrounds Ability to supervise and direct administrative and clinical personnel Supervisory Responsibilities The CS supervises clinical and administrative staff, ensuring efficient clinic operations that satisfy Veterans and all relevant stakeholders. Key Collaborators The CS reports to an AM or CM depending on region and assignment, working closely with one or both parties. The CS works directly with clinical and administrative staff, medical examiners, and VA MDE personnel. Physical Demands The employee frequently walks, uses hands to finger, handle, or feel, and reaches forward with hands and arms. The employee occasionally sits, stoops, kneels, or crouches. The employee lifts or moves up to 20 pounds regularly and may lift or move 50 pounds. The employee may be required to transfer and/or treat those who are wheelchair bound.
