Position Overview

We are seeking a highly organized, personable, and detail-oriented Bilingual Intake Specialist to join a growing personal injury law firm in Clearwater, Florida.

The ideal candidate will be fluent in both English and Spanish and have experience handling client intake, preferably within a personal injury law firm. This individual will serve as the first point of contact for prospective clients, gathering essential case information, evaluating potential claims, and ensuring clients receive a professional and compassionate experience.

The role requires strong communication skills, attention to detail, and the ability to manage a high volume of inquiries in a fast-paced legal environment.

Key Responsibilities

• Handle incoming calls, emails, and inquiries from prospective clients in both English and Spanish.
• Conduct initial client intake interviews to gather relevant information about potential personal injury cases.
• Collect details related to motor vehicle accidents, slip-and-fall incidents, and other personal injury matters.
• Evaluate potential cases based on the firm's established intake criteria and escalate qualified leads to attorneys or appropriate team members.
• Accurately document client information, accident details, injuries, insurance information, and other relevant case facts.
• Schedule consultations and coordinate follow-up communications with prospective clients.
• Maintain accurate and organized client records using legal case management or CRM software.
• Follow up with prospective clients to obtain missing information and assist with completing intake documentation.
• Provide a positive, professional, and empathetic experience to individuals who may be dealing with injuries or stressful circumstances.
• Coordinate with attorneys, paralegals, and case managers to ensure a smooth transition from initial intake to case onboarding.
• Maintain confidentiality of sensitive client and case information.
• Meet established performance expectations related to responsiveness, intake accuracy, client experience, and lead conversion.

Required Qualifications

• Fluency in English and Spanish , both written and verbal.
• Previous experience in a client intake, customer service, or administrative role, preferably in a legal environment.
• Strong communication, interpersonal, and active listening skills.
• Ability to handle sensitive conversations with empathy and professionalism.
• Excellent organizational skills and attention to detail.
• Ability to multitask and manage a high volume of incoming inquiries.
• Proficiency with Microsoft Office and CRM or case management systems.
• Strong follow-up skills and the ability to work independently.
• Must be able to work on-site in Clearwater, Florida .
