Non-Clinical - Patient Access Rep

Patient Registrar

Greets patients, visitors, vendors, and staff. Ascertains needs and directs accordingly. Ensures appropriate persons complete and receive proper forms. Directs or escorts to the appropriate person, department, or clinical area. Registers patients and verifies registration details. Checks in all patients in the electronic health record per practice guidelines. Ascertains necessary demographic and billing information according to guidelines. Schedules office appointments per practice scheduling guidelines. Answers telephone calls to determine callers' needs. Answers questions, schedules, or changes appointments, and directs callers to the appropriate party. Takes messages and distributes them to the appropriate party. Reports malfunctions of telephone equipment to a supervisor immediately. Requests and accepts cash, check, and credit card payments from patients at the time of visit. Reconciles daily copayment batches and prepares patient referrals for billing. Dispenses change to cash payment patients. Prepares receipts for patients. Contacts billing for immediate insurance verification for walk-ins or patients with a change in insurance status on file. Scans insurance cards and photo IDs into the electronic health record. Verifies Medicaid status by obtaining authorizations if necessary. Arranges for patient transportation when necessary. Follows established guidelines in contacting transportation companies timely. Provides basic clerical support functions to other practice staff. Sorts and distributes incoming mail. Types or completes routine practice forms, records, and reports. Checks and verifies data on forms, records, and reports. Follows up on incomplete data by calling the responsible party. Assists in training new practice staff with the patient check-in process. Treats people served as guests, including patients and coworkers. Maintains a safe and clean environment. Respects the privacy of all patients. Handles confidential information with discretion and sensitivity. Addresses all canceled appointments and follows up per practice policy. Provides clerical support and ensures the appointment scheduling task list is updated daily. Answers telephone calls promptly and efficiently and distributes provider calls. Identifies problems and resolves scheduling conflicts. Notifies the practice manager of dissatisfied patients to de-escalate issues. Works independently in a busy front office environment. Can take direction from management as needed. Performs other job-related duties as assigned. Complies with all policies and standards. Demonstrates excellent organizational, multitasking, and time management skills. Displays excellent verbal and written communication skills. Exhibits strong people skills and basic math abilities. Maintains a professional demeanor at all times.

High school diploma required; college degree preferred or equivalent experience in a patient care setting preferred.

Experience using an electronic health record; knowledge of patient appointments and scheduling
