(NAHC) 2950 International Blvd., Oakland, CA WORK HOURS: Full Time, 40 hours per week, 100% FTE STATUS: Union, Non-Exempt POSITION SUMMARY The Lead Medical Assistant is a vital part of the healthcare team, responsible for overseeing the daily operations of the medical assisting staff while ensuring high-quality patient care and adherence to healthcare policies and procedures. This role combines clinical and administrative responsibilities and requires strong leadership, organizational, and communication skills. The Native American Health Center is an accredited institution and adheres to the standards of excellence set forth by the Accreditation Association of Ambulatory Health Care (AAAHC) and the Commission of Dental Accreditation (CODA). DUTIES & RESPONSIBILITIES Leads the coordination of staff assignments and workflow as directed by the MA Supervisor. This includes acting as the point person for real-time communication with the care teams. This includes communicating scheduling changes and updates to all involved teams including Member Services; and communicating with the care teams about population health management efforts and alerts. Under the direction of the MA Supervisor, takes a lead role with mentoring and training medical assistants and other support staff on varying MA‑specific technical topics during meetings, new hire onboarding, and periodically as directed. This includes taking an active role in the MA Training Committee. Become and act as an Epic Super User for the Medical Department within 6 months. This includes providing technical support on Epic workflows and training others as directed. Supports the MA Supervisor implement new MA workflows and initiatives timely. This includes documenting workflows, training, shoulder‑to‑shoulder support and answering questions. Supports MA Supervisor in ensuring daily and/or time‑sensitive tasks are complete (e.g., Lab Open & Close, Periodic Tasks, Reminder Calls, Refills). Monitors daily/weekly inspections with items such as autoclave log test, autoclave log, Eye Wash Inspection checklist, log, etc. and reports inconsistencies immediately. Actively scrubs provider templates for scheduling errors and ensures timely corrections are made. Supports Care Pod with completion of recalls, reminder calls and care gap appointments. Supports with special projects, as requested by direct supervisor or the Medical Executives. Supports MA Supervisor with morning huddles and staffing board. Act as point of contact, and delegate, MA assignments and Periodic Tasks. When acting as a MA, refer to the Medical Assistant job description. Participate in continuous quality improvement initiatives and incorporate feedback into practice operations. This includes monitoring of workflows and processes to sustains an audit‑ready environment. Supports the MA Supervisor with resolving Quest Billing Trailers. Acts as a back‑up to the internal Quest lab and performs phlebotomy, this includes blood test, EKG's, visual acuity, urine and hearing tests as indicated. Works collaboratively with Care Pod MAs and Float MA(s) and helps direct daily flow of the clinic care pod(s) and supports with timely and complete rooming, vitalizing, phlebotomy, and population health management. Supports the medical leadership team with maintaining a strong teamwork environment to meet department and patient needs. Proactively monitors the following weeks’ schedule for any outliers, changes, and blocked times and works to fill schedules. Constantly monitors the schedule for appointment availability, confirmed appointments, and appointments needing confirmation. This includes utilizing overbooking rights as deemed necessary. General Duties and Responsibilities 20. All duties of a NAHC Medical Assistant, when needed and as requested/assigned. 21. Reports medical equipment deficiencies to ensure equipment is in working order, and or is being fixed or replaced. 22. Conducts weekly supply checks and submits timely replenishment request to ensure adequate supplies are available for staff. 23. Provide interpretation, as directed. 24. Actively participate in meetings and trainings 25. Work Saturday and evening clinics, when assigned. 26. Represent the department at internal and external meetings; bring back relevant and important information to the department and act on and disseminate information in a timely manner. This includes attending assigned leadership courses. 27. Member Care: Demonstrate understanding and apply working knowledge of safety policies and ensuring safe member practices. 28. Employee Safety: Safely performs all duties; follows required protective protocols to ensure personal safety as well the safety of others. 29. Must maintain compliance with ergonomic safety standards; be mindful of posture and regularly practice ergonomic stretches. 30. Quality Improvement: Actively participate in internal quality improvement teams and work with members proactively to drive quality improvement initiatives in accordance with the mission and strategic goals of the organization, federal and state laws and regulations, and accreditation standards, when assigned. 31. HIPAA: Keep all protected health information (PHI) confidential and abide by HIPAA policies for the release and disclosure of any PHI. Will report unauthorized use of disclosure of PHI immediately, to supervisor or HIPAA security officer. 32. Work well under pressure, meet multiple and often competing deadlines 33. At all times demonstrate cooperative behavior with supervisors, subordinates, colleagues, clients and the community. 34. Other duties as assigned by Supervisor. Qualifications MINIMUM QUALIFICATIONS Must have high school diploma or its equivalent. Certificate of completion from an accredited Medical Assistant training program and state or national certification as a Medical Assistant. 1-2 years of experience as a medical assistant. Well‑versed in‑patient support care clinical standards and care delivery, systems, external regulations, and internal policies. Fluency in both English and Spanish, both written and verbal is required, per operational need. Must be computer literate. This includes experience using Microsoft products (Word, Excel, Outlook), and be able to learn to use an electronic health record (EHR) system. Must have superior Customer Service skills. Ability to organize, prioritize and efficiently carry out duties and assignments with little direct supervision. Ability to interact effectively and in a professional, supportive manner with persons of all backgrounds; and maintain effective working relationships with staff, patients, public and external agencies. Vaccination Level 1: Must be able to provide TB, Physical, seasonal flu and proof of Vaccination immunity for Measles, Mumps, Rubella, Varicella, TDAP & Hepatitis B, prior to start date. If vaccination records are more than 10 years old, titers are required to confirm immunity. BLS/CPR certification must be obtained prior to start date and kept current at all times. Ability to bend, lift, carry up to 25lbs. with relative ease. DESIRED QUALIFICATIONS Experience working in a community health setting. Experience with Epic Health Record System.
