Service Administrative Operations Lead We are looking for a highly organized, proactive, and dependable Service Administrative Operations Lead to support the day-to-day operations of our dealership's Service Department. This is a key administrative leadership position responsible for keeping several important areas of the Service Department organized and running efficiently, including our Service Call Center, loaner vehicle program, accounting schedules, customer follow-up, and departmental administrative processes . The ideal candidate is someone who takes ownership, follows through, catches details others may miss, and is comfortable managing multiple priorities in a fast-paced dealership environment. Hourly Pay: $22.00 - $27.00 Depending on experience. What You'll Do Service Call Center Oversee the daily operation and performance of the Service Call Center. Support, train, and provide accountability for Call Center personnel. Monitor appointment scheduling, incoming calls, customer communication, and follow-up. Work closely with Service Advisors and management to ensure effective communication and a positive customer experience. Loaner Vehicle Program Oversee the administration and daily operation of the dealership's loaner vehicle program. Maintain accurate records for loaner agreements, deposits, mileage, fuel, vehicle condition, and availability. Ensure Hyundai loaner reimbursements are submitted and properly accounted for. Monitor compliance with dealership loaner policies and procedures. Accounting & Administration Maintain and review Service Department accounting schedules and administrative records. Follow up on outstanding items and work with Service Management and Accounting to resolve discrepancies. Maintain accurate, organized documentation and departmental records. Assist Service Management with reporting, tracking, special projects, and daily administrative needs. Department Support & Customer Service Serve as a central administrative resource for the Service Department. Coordinate with Service, Parts, Accounting, Sales, and dealership management. Identify opportunities to improve processes, organization, efficiency, and customer service. Assist with customer concerns and ensure unresolved issues receive appropriate follow-up. Maintain confidentiality of customer, employee, financial, and dealership information. What We're Looking For Previous automotive dealership, service department, administrative, or office leadership experience preferred. Strong organizational and time-management skills. Excellent verbal and written communication skills. Strong attention to detail and accuracy. Ability to manage multiple priorities and frequent interruptions. Strong problem-solving skills and good judgment. Comfortable holding others accountable and following through on assignments. Strong computer skills with the ability to learn dealership systems and software. Professional, dependable, and customer-focused.
