Office Clerk

Responsible for handling clerical tasks in the office. Handles incoming phone calls and other communications, greets clients and visitors, manages files, updates paperwork and other documents, and performs other general office clerk duties and errands.

Principal Accountabilities:

• Communicates correspondence with clients and other departments as needed. Prepares and maintain follow-up of action items to meet deadlines. Assists in faxing of records and following up on receipt of medical record requests.
• Compiles information, data and maintains updated and accurate spreadsheets for operations.
• Accurately collects and documents time-of-service payments. Verifies/collects: demographics, emergency contact information, and insurance information.
• Initiates and composes routine correspondence regarding meetings, requests for maintenance, purchasing, telecommunications requests, general program inquiries, etc.
• Maintains a favorable image by demonstrating courtesy, patience, persistence, sensitivity and tact while dealing with the general public, particularly difficult patients and their families.
• Provides coverage in case of team member absence, both scheduled and unscheduled coverage and ensures continuity of service.
• Establishes, maintains and revises record keeping and filing systems for retention of information in order to facilitate prompt and organized retrieval of information when necessary.
• Assists in managing and maintaining multiple excel spreadsheets for distribution internally for organizational efforts as required. Registers new patients and updates existing patients regularly.
• Schedules, reschedules and cancels patient appointments and procedures within the department and collects and verifies the registration data.
• Performs other related duties as assigned.

Qualifications:

• Required: High School Diploma or equivalent. 2 years of relevant experience.
• Preferred: Bachelor's Degree in any related field.
