Lead Front Office Associate

We are challenging the status quo by shining light on radiology and making it a critical first step in diagnosis and proper treatment. Come join us and shine brighter together! As a Lead Front Office Associate, you will be responsible for providing services to patients and referring professionals by answering phones, scheduling appointments, cheerfully greeting and registering patients and performing other duties as assigned. This is a leadership role within the greater administrative team; from process improvements, staff planning, training and supervision. This is a full-time position working Monday-Friday, 7:30 AM - 4:00 PM.
ESSENTIAL DUTIES AND RESPONSIBLITIES:
(30%) Registration Greet and check‑in patients scheduled for imaging services; process payment as needed Answer phones and handle calls in an efficient and friendly manner Field phone calls appropriately for Center Team Members Act as liaison between imaging technologists and the patients waiting for exams, and relay messages regarding scanner status and other Clinic information Maintain organization of the front office lobby area by straightening magazines, organizing coffee supplies and assisting with general office cleanup Order office supplies as needed Maintain supply of patient information sheets Complete patient appointment confirmation calls and provide preparation instructions to patients Fax/scan reports, billing information, and medical release forms as requested (15%) Scheduling Arrange transportation, interpreters, and hotel accommodations for patients when appropriate Enter and submit patient exam orders Schedule referrals and ensure proper authorizations are obtained Process requests for image orders and CDs from both the referring physicians and patients Maintain an up‑to‑date and accurate pending‑scheduling list Maintain an up‑to‑date and accurate database of all current and potential referring physicians (15%) Insurance Verify patient's insurance coverage Pre‑certify all patient exams with the patient's insurance company Apply knowledge of insurance carriers (example Medicare) and procedures that require waivers to obtain pre‑authorization, if needed, prior to patient appointments Facilitate Release of Information (ROI) requests for patients, referring offices, other medical facilities, attorneys & insurance companies following Company guidelines (35%) Functional Team Leadership Coordinate the training and onboarding of new team members Assist the Supervisor, or directly facilitate and lead regular team meetings and assigned team member one‑on‑ones Assist with the hiring process for new team members Monitor and approve assigned team member timecards Initiate and/or participate in the annual performance evaluations, learning/development and performance management of assigned team members Assist with the development of team member schedules to provide for planned time off, ensuring appropriate staffing levels and adequate coverage Evaluate workflows and implement process improvements for the team/department as appropriate Ensure the team has knowledge of company and department policies and corresponding procedures Proactively provide support to team members to ensure the highest level of patient satisfaction is reached and maintained Manage the department (in the absence of supervisor) and coordinate schedules to ensure appropriate coverage Lead special projects and/or committees, as assigned (5%) Complete other tasks and projects as assigned Remote Position No Status Full-time Requirements Required: High School Diploma, or equivalent Four (4) years' Customer Service experience Two (2) years' experience in medical front office experience, with demonstrated ability to serve as a resource to others, effectively train and coach team members and identify process improvement opportunities Demonstrated knowledge of medical terminology Experience leading/mentoring others Business office experience, with minimal processing errors Medical insurance knowledge Highly proficient in using computer systems and typing Solid working knowledge of Microsoft Office Suite; Outlook, Word, Teams, Excel Preferred: Associate degree in a medical related field Previous experience directly supervising others RAYUS is committed to delivering clinical excellence in communities across the U.S., driven by our passion for and superior service to referring providers and patients.
