POSITION SUMMARY

The IT Data Systems Manager leads the organization’s IT function and aligns technology and data systems with organizational needs in a mission-driven nonprofit environment. The position supervises the IT Field Support Specialist and oversees the administration, support, security, and continuous improvement of technology systems and data platforms. This role ensures reliable IT operations, responsive staff support, consistent and accessible data practices, secure handling of sensitive information, and efficient business processes.

The IT Data Systems Manager leads organization-wide mapping of how data is entered, stored, accessed, and reported. In partnership with departments, the position designs new systems and maintains and improves existing ones to establish consistent, accessible data practices aligned with organizational needs.

Reporting to the Finance Director, the IT Data Systems Manager supervises the IT Field Support Specialist and provides backup coverage for end-user support, training, and equipment management.

JOB DUTIES & RESPONSIBILITIES

Supervision of the Remote Desktop Support Specialist

• Conduct weekly check-ins and oversee recurring responsibilities and special projects.
• Support ongoing training and professional development
• Support stakeholder communication and satisfaction efforts
• Oversee the annual performance review and goal setting process
• Oversee centralized equipment budgeting and inventory management
• Oversee management of ticketing system
• Assure business continuity by acting as a backup to the Remote Desktop Support Specialist

Budgeting and Purchasing

• Partner with department leaders to centralize IT budgeting, purchasing, deployment of hardware and software, inventory management
• Manage IT budgeting for special projects

Project Management and Stakeholder Engagement

• Lead IT projects from requirements gathering and planning through implementation, stakeholder communication, and post-launch evaluation.
• Ensure stakeholder engagement in new projects
• Perform annual, formal needs assessments with key stakeholders
• Lead the annual customer satisfaction survey with key stakeholders, communicate findings, and oversee the response plan.

Data Systems & Reporting Support

• Manage the administration, quality, integrity, and continuous improvement of organizational data systems
• Support reporting needs across departments
• Identify opportunities to improve data workflows and accessibility
• Design and implement new data systems; improve existing systems
• Oversee file management systems, and policies and procedures

Security & Compliance

• Implement and support security best practices (MFA, conditional access, data protection)
• Monitor for suspicious activity and respond to security incidents
• Support compliance with applicable regulations (e.g., HIPAA, if applicable)

Vendor & Project Coordination

• Coordinate with external IT vendors and service providers
• Assist in evaluating and implementing new technologies
• Support IT data projects of varying scope and complexity

Documentation & Training

• Maintain clear documentation of systems, processes, and configurations (including organizational data flow model)
• Provide training and guidance to staff on systems and best practices
• Contribute to development of internal IT policies and procedures

SUPERVISORY RESPONSIBILITIES

The IT Data Systems Manager directly supervises the IT Field Support Specialist, including performance management, goal setting, professional development, workload oversight, and service quality. The manager also oversees organization-wide IT policies, procedures, and equipment-use standards and provides technical guidance to internal committees and cross-functional teams responsible for technology planning and governance.

REQUIRED SKILLS AND QUALIFICATIONS

Required Skills:

• Strong supervisory skills
• Strong customer service skills
• Ability to work cross-departmentally, centralizing and standardizing IT planning, implementation and use
• Strong experience with Microsoft 365, including SharePoint and data/file management
• Working knowledge of relational databases, including basic query and report design
• Understanding of IT and data security principles and best practices
• Excellent troubleshooting and problem-solving skills
• Ability to communicate technical concepts to non-technical users and provide end-user training
• Strong organizational and documentation skills
• Experience managing SharePoint sites and document libraries

Preferred Skills:

• Experience with system integrations or APIs
• Experience in nonprofit environments
• Experience with Power BI or similar reporting tools
• Project coordination experience supporting data or systems initiatives

REQUIRED EDUCATION AND EXPERIENCE

Required Education and Experience:

• Minimum of four (4) years of experience in data systems design, administration or related role
• Minimum of two (2) years supervisory experience
• Associate or Bachelor’s degree in IT, Information Systems, or related field (or equivalent experience)

Preferred Education:

• Bachelor’s degree in a related field

REQUIRED CERTIFICATES, LICENSES, CREDENTIALS AND/OR REGISTRATIONS

Preferred Certifications:

• Microsoft Power BI Data Analyst (PL-300) or similar
• CompTIA Data+ or equivalent
• SQL or database-related certification (preferred)

PHYSICAL REQUIREMENTS

• Ability to sit and work at a computer for extended periods
• Occasional lifting of equipment up to 25 lbs
• Ability to move between locations and workspaces as needed

Pay: This is an exempt salaried position at $70,825 to $75,884 annually, DOE
