Reporting to the Associate Director of Human Resources, the Human Resources Coordinator provides essential administrative and operational support to the HR Department and the museum staff at large. This role is primarily responsible for processing the full employee lifecycle—including new hires, terminations, and data changes—while coordinating closely with benefits carriers and payroll. The ideal candidate is extremely organized, highly flexible, and deeply customer-service oriented.
Applications are reviewed on a rolling basis until the position is filled. Priority will be given to applications received by Wednesday, July 15, 2026. We plan to launch the interview process in late July.
Duties and Responsibilities:
Benefits AdministrationEnrollment & Changes: Processes all benefit enrollments, terminations, and changes via carrier portals; updates the HRIS and coordinates updates with Payroll.
Billing & Compliance: Reconciles monthly benefit billings and manages the COBRA continuation process.
Leave Management: Assists with Leave of Absence (LOA) administration, including tracking and employee communication for FMLA, Workers’ Compensation, and unpaid sick leave.
Data Integrity: Supports the administration of ADP Workforce Now, running regular audit reports to ensure flawless data integrity.
Lifecycle Processing: Inputs and tracks all personnel changes (salary updates, employment extensions, step increases, and fixed-term appointments) and ensures data is verified before routing to Payroll and notifying employees in writing.
Offboarding: Prepares separation packets for regular and temporary staff; processes terminations in ADP, benefits portals, and payroll.
Reporting: Generates biweekly and monthly union reports and other compliance or internal reports as required.
Hiring Support: Supports the museum-wide recruitment process by posting open positions, tracking requisitions, and assisting with related hiring tasks.
Onboarding Logistics: Coordinates cross-departmentally with IT and Facilities to prepare for new hires, including creating ID/access badges and ordering business cards.
Manages the HR department’s central inbox, responding to and/or routing inquiries appropriately.
Manages personnel files, keeps files up to date and ensures compliance.
Coordinates the production of the monthly HR newsletter and maintains updated organizational charts.
Assists with the planning and execution of employee events, wellness programming, and training.
Conducts monthly departmental credit card reconciliation.
Performs other related duties as assigned.
Minimum Qualifications:
Education: Bachelor’s degree from an accredited college or university.
Experience: Minimum of two (2) years of human resources experience. Experience within a non-profit or cultural institution is highly preferred. Experience in a unionized environment is desirable.
Skills and Abilities:
Technical Proficiency: Highly proficient in MS Office / Google Suite, applicant tracking systems (ATS), and HRIS platforms (ADP Workforce Now strongly preferred).
Compliance & Knowledge: Knowledgeable in California employment and labor laws, as well as hiring best practices.
Communication & Discretion: Strong written and verbal communication skills; ability to exercise excellent professional judgment and maintain strict confidentiality.
Organization & Accuracy: Exceptionally organized, analytical, and detail-oriented, with the ability to perform clerical duties with a high degree of accuracy.
Soft Skills: Approachable, flexible, and collaborative demeanor; a self-starter who values personal accountability, can multitask, and thrives in a shifting, deadline-driven environment.
Prolonged periods of sitting at a desk and working on a computer.
Additional:
Schedule: This position is eligible for a hybrid work schedule. Hybrid schedules are a minimum of 4 days a week onsite, with the understanding that schedules may change based on operational needs. The workweek is Monday - Friday, 8 hours a day, 40 hours per week.
Compensation: The benefits package includes medical, dental, vision, and 401(k), and paid time off. The annual salary range for this position is $70,000-$75,000. The final offer amount within this range will be based on experience and internal equity.
