Office Accounting Assistant Job Description

Reports to the Chief Values Officer

The Office Accounting Assistant role consists of 3 main functions:  Enhancing Our Team, Serving our Customer  and  Achieving Financial Goals . Each of these roles require different amounts of time but share equal importance of being on the Bortnick Team.

Enhancing Our Team

●  Keeps the Finance and Accounting Department clean and organized
●  Completes required training and Individual Plan of Development as scheduled
●  Provides feedback on best practices and offers ideas for improvement
●  Respectfully works together with all departments to maintain and grow Parts, Sales, Service and Finance departments
●  Meets or exceeds performance goals as defined by Finance and Accounting Manager

Serving our Customer

● Greets customers in a timely manner
● Answers phone in a timely manner and routes calls appropriately
● Monitors office supply levels and reorders as necessary
● Purchases supplies and equipment as authorized by management
● Follows best practices for the following processes: issuing customer invoices, ensuring timely collection of receivables, making invoice payments, collecting and remitting sales tax, managing fixed assets and inventory cycle counts, maintaining the petty cash fund, maintaining an orderly accounting filing system, managing debt levels, payments and compliance with covenants, processing payroll report in a timely manner, supporting HR Partner for payroll completion
● Conducts periodic reconciliations of all accounts to ensure accuracy
● Calculates variances from the budget and report significant issues to supervisor
● Ensures compliance with local, state, and federal government reporting requirements
● Provides clerical and administrative support to management as requested

Recording Financial Performance

● Records cash receipts and makes bank deposits
● Conducts a monthly reconciliation of every bank account
● Assists in the preparation of financial statements
● Assembles and provides information to external accountants/auditors as requested for use in creating company financial statements and annual audits
