Student Recruitment & Enrollment Coordinator

About the Role The Student Recruitment & Enrollment Coordinator plays a critical role in driving student recruitment and enrollment outcomes across Excel Academy’s network. In partnership with the Director of Student Recruitment & Enrollment, this role leads the execution of outreach strategies, manages key enrollment processes, and delivers a high-quality, responsive experience for prospective families from initial interest through registration. This individual is responsible for coordinating and implementing recruitment initiatives, maintaining accurate enrollment systems and data, and ensuring timely follow-through on all family communications and enrollment milestones. The Coordinator serves as a key point of contact for families, building trust and guiding them through the enrollment process with clarity, urgency, and care. In addition, this role supports Excel Academy’s benefits access efforts by connecting families to local resources and strengthening partnerships with community-based organizations. Starting Salary and Start Date Salary: $45,000 - $68,000, commensurate with experience. The ideal candidate is able to begin the week of July 13, 2026. Your Impact Student Enrollment Manage day-to-day enrollment operations, including maintaining the enrollment work plan, tracking progress toward enrollment goals, and regularly reporting on status and key milestones Serve as the primary point of contact for families throughout the enrollment and registration process, delivering a warm, responsive, and high-quality experience from offer through onboarding Manage and maintain all enrollment data systems, including SchoolMint and internal trackers, ensuring accurate tracking of offers, waitlists, and registration status Collect, review, and track all required enrollment documentation (e.g., proof of residency, enrollment forms), ensuring completeness and compliance with state and school requirements Support families in completing enrollment requirements via phone, virtual, and in-person support, including assistance with forms and document submission Enter and verify student enrollment data in PowerSchool, ensuring accuracy, completeness, and alignment across systems Maintain and update enrollment materials, including forms, communication templates, and family-facing resources Serve as the liaison between Excel and prior schools to obtain student records and relevant educational history Prepare and share student information and records with school-based teams to support a strong start for newly enrolled students Partner with school teams to support enrollment events, including Open Houses and onboarding experiences, and ensure a smooth transition for incoming students and families Student Recruitment Coordinate and execute recruitment events, including Open Houses, information sessions, school tours, and community-based tabling opportunities in partnership with local organizations Serve as a front-facing ambassador of Excel Academy by responding to family inquiries promptly and professionally, and providing clear, accurate information about the application and enrollment process Conduct school tours and family meetings that effectively communicate Excel’s academic model, outcomes, and community experience Support the development and execution of recruitment and marketing efforts, including digital (website, social media) and in-person strategies to drive applications and increase enrollment Collaborate on the creation and distribution of recruitment materials, including flyers, brochures, and outreach communications Manage the enrollment lottery process, including preparing timelines, ensuring system readiness, auditing application data for accuracy, and supporting family communication leading up to and following the lottery Enter and manage application data in SchoolMint, including paper applications and data corrections, ensuring accuracy and completeness Conduct regular data quality audits of applicant information and resolve discrepancies in advance of key enrollment milestones Maintain accurate and up-to-date records of prospective students and applicants, ensuring strong data integrity and confidentiality Support the Director of Student Recruitment & Enrollment with additional outreach, partnership, and pipeline-building efforts, including community engagement and follow-up with prospective families Benefit Access Support outreach efforts to families for Supplemental Low Income (SLI) eligibility, including assisting with application completion and follow-up to maximize participation and accuracy Build and maintain relationships with community-based organizations across Massachusetts and Rhode Island, developing a strong network of partners and understanding available programs and services for families Coordinate and support communication of community resources to families, ensuring access to relevant supports such as health, housing, food, and after-school programming Lead the planning and execution of a community resource fair, bringing together local partners and Excel families for an event focused on connection, access, and resource sharing Support the scheduling and coordination of family workshops and events (e.g., Know Your Rights sessions, MassHealth/EBT workshops) in partnership with community organizations Maintain up-to-date records of partnerships, resources, and family engagement to inform ongoing outreach and program improvement Qualifications Bachelor’s degree preferred Spanish & English fluency required Experience in marketing, communications, or a related field (or equivalent experience) preferred Previous experience in student recruitment, admissions, or a related field is preferred Experience working with students and families in a public or charter school setting and/or demonstrated experience in customer service Strong interpersonal and communication skills, with the ability to effectively engage with diverse audiences, including students, parents, and community members A detail-oriented approach to data entry and data management A willingness to learn more about technology and data management Excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously and meet deadlines The ability to focus and thrive in a and enrollment activities Special Work Requirements Some evening and weekend work may be required. Field work is a critical part of this position. The position will require regular travel between school sites. The ability to drive and reliable access to a car is necessary.
