Job Summary:

Responsible for providing a variety of personal and administrative support functions for the Broker/Owner of Howard Hanna Real Estate Executives.

Essential Functions and Responsibilities:

● Exceptional interpersonal skills and ability to communicate effectively at all levels of the organization.

● Responsible for scheduling and management of owners personal and business calendars.

● Coordinate executive communications in a professional and thorough manner including taking phone calls, responding to emails, and interfacing with employees, clients, and a variety of the owners business and personal contacts.

● Coordinate travel arrangements for president, both personal and business related.

● Provide clerical and administrative business support such as filing and record keeping.

● Assist with all business management duties.

● Act as the liaison for various projects and events; occasionally attend meetings on the owner’s behalf.

● Track, record and manage all charitable requests and donations ensuring they have appropriate brand standards, logos and everything is followed thru on.

● Meet regularly with the owner to prioritize responses on a variety of tasks, email, and phone calls.

● Respond on behalf of the owner in sharing information to and from a variety of local boards and business organizations of which the owner is a member.

● Responsible for organizing, confirming, and attending business and community events hosted by our company.

● Responsible for personal and business errands for the owner, requiring extensive local driving.

● Responsible for occasional attendance at meetings or functions outside of normal business hours.

● Manage all sensitive and confidential information appropriately.

● Perform other duties as assigned.

Job Qualifications:

● Associates degree or job equivalent experience.

● 2-3 years of administrative support experience in a professional office setting required.

● Bookkeeping experience, using QuickBooks or equivalent accounting software, preferred.

● Experience with Microsoft Office and Google Suite programs, Internet applications, and database applications required.

● Valid Michigan driver license and have reliable transportation required.

Knowledge, Skills, and Abilities:

● Friendly and professional demeanor; ability to represent the owner and the company in a professional manner, including written and verbal communication.

● Ability to organize and manage a diverse range of assignments and projects with high efficiency and thorough attention to detail and follow-through; versatility and ability to adjust to changing priorities and deadlines.

● Ability to coordinate a high level of activity under a variety of conditions and constraints, proficiency in collaboration and delegation of duties.

● Ability to follow all company policies and procedures.

Physical and Environmental Requirements:

● Physical activity for extended periods of time such as computer work/keyboarding, filing, reaching, twisting, sitting, and standing.

● Extensive telephone use.

● Local travel and occasional regional travel required for company business.

All employees at this company have responsibility and authority to note areas of customer or agent issues and bring it to management’s attention.
