The Patient Care Specialist Supervisor (PCSS) oversees the Patient Care Specialist team and ensures high-quality delivery of client care, facility safety, and day-to-day residential operations. The PCSS provides leadership, training, support, and accountability to front-line staff who are responsible for monitoring clients, facilitating program structure, and maintaining a therapeutic recovery environment. The PCSS serves as a key communication link between PCS staff, nursing, clinical, and administrative teams to ensure seamless coordination of client care. This position may provide direct care support during staffing shortages or emergent situations.

Key Responsibilities

1. Staff Supervision & Leadership
  • Provide direct supervision and guidance to Patient Care Specialists (PCS) to ensure professional performance and adherence to program expectations.
  • Manage staff scheduling, shift coverage, and call-outs to maintain appropriate 24/7 supervision for up to 112 residential clients.
  • Conduct shift huddles, team meetings, and regular staff check-ins to communicate expectations, address concerns, and promote team accountability.
  • Assist with orientation, training, and ongoing competency development of PCS staff.
  • Provide coaching, mentoring, and corrective action when necessary while modeling trauma-informed and professional behavior.
2. Residential Operations & Client Supervision
  • Oversee daily residential operations across dorm buildings and common areas to ensure a safe, structured, and therapeutic environment.
  • Monitor client movement, program participation, group attendance, curfews, and adherence to program schedules.
  • Coordinate with admissions, clinical, and nursing teams regarding client intake, bed assignments, transfers, and discharges.
  • Ensure PCS staff provide consistent supervision and support while reinforcing life skills, accountability, and program expectations.
3. Safety, Incident Response & Facility Oversight
  • Conduct and oversee facility rounds, environmental checks, room inspections, headcounts, and emergency safety procedures.
  • Respond to behavioral incidents, conflicts, safety concerns, and environmental hazards promptly and professionally.
  • Support staff in de-escalation and crisis management using trauma-informed approaches.
  • Monitor facility conditions and report maintenance or safety issues as needed.
4. Documentation, Communication & Regulatory Compliance
  • Ensure PCS staff complete required documentation including rounds, observations, and incident reports accurately and timely.
  • Review reports and logs for completeness, trends, and follow-up needs.
  • Serve as the primary communication link between PCS staff, administration, and the clinical team.
  • Ensure residential operations comply with DBHDS, Medicaid, and Joint Commission standards, and assist with inspections, audits, and quality improvement efforts.
Requirements: Education and Experience
  • High school diploma or equivalent.
  • Experience in behavioral health, residential treatment, SUD, mental health, or direct client care.
  • Associate’s or Bachelor’s degree in human services, psychology, social work, or a related field preferred.
  • Must be at least 18 years of age.
  • A valid Virginia driver’s license with a clean driving record (for client transport duties) preferred.
  • Reliable transportation to and from the facility.
  • Must be able to pass a state and federal background check and drug screening per Virginia Department of Behavioral Health and Developmental Services (DBHDS) regulations.
  • CPR, First Aid, and CPI (Crisis Prevention/Intervention) certification preferred or willingness to obtain within 30 days of hire.
  • Familiarity with community resources, benefit programs, and recovery supports preferred.
  • Knowledge of ASAM 3.5, 3.1, 2.5 standards, Virginia Medicaid service requirements, and residential SUD programming preferred.
  • Credentials such as RPRS, CSAC-T, QMHP-A/QMHP-T, or related certification preferred.

  • Ability to stand and walk for extended periods.
  • Ability to lift up to 25 pounds occasionally.
  • Ability to respond quickly to emergencies or behavioral incidents.
