Planner / Scheduler - Plumbing

The Planner & Scheduler is responsible for maximizing workforce efficiency and productivity through detailed planning, scheduling, material coordination, backlog management, and CMMS administration. The Planner & Scheduler plays a critical role in ensuring maintenance work is completed safely, efficiently, and on schedule while supporting long-term operational reliability.

The ideal candidate will possess significant experience as a plumber, stationary engineer, or related maintenance trade professional with strong knowledge of plumbing systems, utility systems, and maintenance operations. Preferred qualifications include experience with work planning, scheduling, labor estimating, material procurement, reading technical drawings and specifications, and strong organizational, communication, and coordination skills. Licensed Plumber.

Salary Range: $60,500 - $75,500 - $90,500

The typical work schedule is Monday through Friday, 7:00 AM to 4:00 PM.

Responsibilities
Scoping & Planning • Administer work orders and service requests through CMMS software and prioritize work based on urgency and resource requirements. • Contact and interview clients within two business days of work order origination to develop detailed scopes of work. • Collaborate with craft technicians to estimate labor hours, manpower, parts, materials, equipment, and special tools required for work execution. • Verify availability of parts and materials through vendors, warehouse resources, and WCC office support. • Obtain quotes from vendors and contractors for maintenance and project work. • Coordinate personnel, materials, and scheduling information to support facility maintenance and project work. • Coordinate costs, work data, and project status among clients, contractors, technicians, supervisors, and Facility Services departments. • Coordinate client moves and review CP&M submittals in collaboration with clients and FPDC. • Establish short-range and long-range plans through analysis of available resources and maintenance backlog.

Work Planning & Resource Coordination • Plan and schedule maintenance, repair, and project work supporting plumbing and utility systems. • Develop detailed work plans and estimate labor hours required to complete assigned work. • Order and coordinate materials, equipment, and resources needed to support scheduled activities. • Support execution of maintenance activities through effective planning and resource allocation. • Coordinate outsourced plumbing and utility system projects with contractors and vendors. • Meet with contractors and vendors to scope, coordinate, and manage contracted work. • Collaborate with operations, maintenance, and contractor personnel to ensure work is completed safely, efficiently, and on schedule. • Dispatch work assignments to Physical Plant Supervisors and coordinate work activities with internal departments, external entities, and vendors.

Work Order Scheduling • Develop, maintain, and communicate work schedules for craft technicians in partnership with Physical Plant Supervisors. • Consider equipment type, required crafts, available labor hours, load leveling, work location, and work status when developing schedules. • Confirm receipt of parts and materials to ensure work can be completed as scheduled. • Maintain communication with supervisors and management regarding schedule execution, workforce availability, and schedule modifications. • Enter technician schedules into Mainsaver based on planned activities and estimated labor hours. • Follow up with supervisors, technicians, and WCC personnel regarding scheduled work orders, due dates, schedule feasibility, and work backlog. • Participate in weekly backlog review meetings and contribute planning recommendations.

Monitoring, Reporting & Performance Management • Monitor workflow and crew progress through CMMS systems. • Track work progress and sustain scheduling performance goals, including maintaining greater than 80% on-time preventive maintenance scheduling and less than 60 days backlog on corrective work orders. • Verify availability of parts and equipment to support scheduled work execution. • Ensure required inspections are scheduled, completed, and rescheduled as necessary due to downtime or operational constraints. • Maintain work scheduling records, files, databases, and completed work documentation for reporting and analysis. • Follow up to verify completion of work and related activities. • Analyze labor, staff, and equipment costs to support future planning efforts. • Summarize and analyze backlog labor hours for each shop to improve responsiveness and reduce work order closeout times.

Other Duties • Maintain liaison relationships with field supervisors and management regarding work execution and workforce status. • Support workforce efficiency and productivity through detailed maintenance planning and scheduling practices. • Perform other duties as assigned.

EDUCATION

• Required: Associate's Degree Technical field or a journeyman's license in one trade.
• Preferred: Bachelor's Degree In a related field.

WORK EXPERIENCE

• Required: Three years experience in construction requirements, maintenance, estimating, project management or scheduling in a plant or large facility maintenance environment.
• May substitute required education degree with additional years of equivalent experience on a one to one basis.

LICENSE:

• Preferred: Journeyman Plumber

OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
