Administrative Assistant

We’re hiring an Administrative Assistant (AA). In this role, you will provide direct support to the company owners and the controller as well as be apart of the Central Office Staff of Midnight Sun Pools n’ Spas, a 31 year old Hot Tub and Swimming Pool dealership based in Bemidji, Minnesota. As an AA you’ll work to proactively manage and prioritize the ever-changing flow of the Central Office by performing a diverse range of complex, confidential and time-sensitive duties. Provides sophisticated management that maintains schedules, including day-to-day management and long-term management of meetings, projects, and priorities Provides central support & coordination across the companies locations including tracking, invoice management, expenses, office-supply management & work-orders. Inventory control throughout the locations and warehouse. Prepare Accounts Payable, including purchase orders, packing slips and invoices. Coordinates preparation of meeting briefings including agenda, meeting materials, key talking points, and research as requested Collaborates across the Central Office team and acts as backup support as needed Is willing to be pulled into projects outside the immediate job description, where administrative support is needed Monitors Accounts Receivables and all paperwork associated with sales, service and construction. Knowledge, Skills and Abilities Professional verbal and written communication Possess composure under pressure and demonstrate good decision-making skills Flexibility in changing work priorities at a moment’s notice Strong planning and organizational skills Driven to deliver work with the highest degree of accuracy Proactively identifies problems and works to resolve them before they escape Advanced proficiency in Microsoft Suite of products (Outlook, Word, PowerPoint, Teams, Publisher etc.) as well as other company software systems Ability to maintain confidentiality Experience required High School diploma/GED or higher Professional Office place experience Proficient in planning time management for your work day Preferred Experience and Education: Experience operating in a high-profile assistant position that interacts with all levels staff and clients Experience interacting with vendors and other service providers Join us and be part of a well organized, established company that is reimagining the business of Hot Tubs and associated products in Minnesota.
