The Facilities Manager owns all day-to-day oversight: work orders, vendor dispatch, preventative maintenance, asset tracking, invoice review, and landlord coordination across all 26 studios. Today that work goes through a third-party facilities manager, which leads to a loss of data tracking, visibility into what keeps breaking, and vendor control. You'll manage a national network of contractors, working closely with the Director of Store Operations, who owns the facilities budget and approves spend above the threshold.TravelTravel is required and ongoing. Regular visits to studios across our multi-state footprint for equipment assessments, vendor oversight, and site inspections, plus new store openings, remodels, and punch list walkthroughs. Availability for unplanned and emergency visits is expected. A valid driver's license and ability to travel by car and air are required.What You'll OwnWork Orders and ResponsePrimary point of contact for facilities issues across all 26 studiosManage incoming work orders, dispatch vendors, and follow repairs through to closureEvaluate repair requests, prioritize accordingly, and exercise independent judgment before approving workRun emergency response and escalate when a studio's ability to operate is at riskProactively and regularly communicate updates to studios and leadersPreventative MaintenanceRun the company-wide PM calendar covering HVAC, refrigeration, plumbing, pest control, fire and life safety, kitchen equipment, and cosmetic upkeepSchedule vendors against it and track completion by locationFlag recurring failures and patterns worth acting onVendorsBuild and maintain a national vendor list across HVAC, electrical, plumbing, general contracting, signage, locksmiths, pest control, and cleaningSource and compare quotes, and recommend vendors to the Director of Store OperationsTrack vendor performance, response time, and first-time fix rateManage vendor onboarding, contracts, and certificates of insuranceAssetsBuild and maintain the asset database covering HVAC, refrigeration, ovens, printers, POS, technology, and furnitureTrack serial numbers, warranties, and service historySurface the repair-versus-replace picture for the Director's decisionBilling and ReportingReview vendor invoices and confirm they match completed workAudit billing, resolve disputes, and manage purchase orders and service authorizationsTrack maintenance spend by location and produce monthly facilities reportingSupport annual budget building with cost history and forecastsLandlords and OpeningsHandle day-to-day landlord coordination on roof, building infrastructure, and common area issuesTrack landlord versus tenant responsibility against lease terms and escalate disputesSupport new studio openings, remodels, and refresh projects, including vendor access and punch listCoverageCross-train on core operations workflows and provide backup support for the Operations Manager during absences and peak periods, coordinated with the Director of Store OperationsContinuous ImprovementProactively identify opportunities to improve processes, efficiency, and overall operations; take initiative to recommend and implement solutions that support continuous improvementQualificationsWhat You Bring3-5 years in facilities coordination, maintenance management, or property managementMulti-unit experience in retail, hospitality, restaurant, entertainment, or franchise preferredExperience coordinating vendors across multiple sitesStrong organizational skills and follow-through on open itemsComfort with work order systems, invoices, and spend trackingClear written and verbal communication with studio teams and vendorsComfortable working independently without direct reportsWillingness and ability to travel regularlyFamiliarity with lease obligations and landlord coordination preferredPhysical RequirementsStanding for long stretchesFrequent climbing, bending, reaching, moving, and lifting up to 50 poundsExtended periods sitting and working on a computerReliable internet, reliable phone and laptop, and a quiet, well-lit space for remote work*This role is remote, with a requirement that the employee reside in Massachusetts, New York, or the DC Metro areaWhat You'll EnjoyCompetitive annual salaryPaid sick time, 10 company holidays, and 4 weeks of accrued vacation timeMedical, Dental, and Vision health benefits effective upon hireAdditional insurance options, including life insurance and disability optionsThe ability to build a brand new function in an exciting environment and shape how it worksThe above is intended to describe the general content of and requirements for the position.
